Position Summary

In this pivotal role, you will provide comprehensive administrative support to the CEO while managing and enhancing the company's charitable giving program. This hybrid role requires exceptional organizational skills, proactive communication, and a passion for community engagement. The ideal candidate will be detail-oriented, possess exceptional problem-solving skills, and have a passion for charitable giving. This role is located in Saint George, Utah.

Key ResponsibilitiesExecutive Assistant
  • Manage CEO calendar, appointments, and travel arrangements (transportation and accommodations)
  • Maintain the highest level of discretion and confidentiality in all matters related to the CEO, executive team, and sensitive company information
  • Monitor and maintain CEO email inbox, ensuring it remains organized, clutter-free, and focused on priority correspondence
  • Handle expense reports and reimbursements
  • Serve as primary point of contact for all employees and external contacts, acting as gatekeeper of information
  • Provide decision support through research and insights to assist with informed decision-making
  • Manage and organize company documents and records
  • Coordinate catering for monthly birthday lunches and working lunches
  • Provide ad hoc support for other executives, board of directors (board meetings, project coordination), and CEO errands
  • Work collaboratively within a team of EAs, providing support across shared projects, company events, and planning initiatives
  • Anticipate and manage CEO office needs, including pantry and office supplies, workspace improvements, and end-of-day office procedures
Charitable Giving Program Manager
  • Work directly with the CEO on all charitable giving initiatives and priorities while reporting to the Chief People Officer
  • Oversee the structure and scalability of charitable giving program and processes, ensuring clarity and efficiency
  • Build and maintain relationships with charitable partners (e.g., BASICS International), serving as the primary organizational liaison
  • Lead the charitable giving committee and coordinate efforts of employee and community volunteers
  • Research, plan, and manage correspondence for potential and active charitable giving projects
  • Oversee implementation of funded projects, ensuring transparency, effectiveness, and alignment with organizational goals
  • Develop and manage the charitable giving budget, oversee fund allocation, and monitor financial transfers
  • Track and report on initiative progress, including financial oversight, success stories, and areas for improvement
  • Plan and coordinate charitable giving service and volunteer trips, including itinerary and travel logistics
  • Help determine the strategic focus of future charitable giving initiatives

Requirements
  • 3+ years of experience as an executive or administrative assistant or in a similar role, preferably supporting C-suite executives or the CEO
  • Experience in managing charitable programs or initiatives strongly preferred
  • Strong organizational and multitasking skills with the ability to support multiple priorities
  • Excellent communication skills, both verbal and written, with a keen attention to detail
  • Proficiency in office software including Google Suite, Gmail, and project management tools; mindset toward digitalization and aptitude for learning new technologies
  • Proficiency in Excel and Google Sheets, including the ability to manage and track budgets, financial data, and reporting
  • Highly motivated, results-driven attitude with a collaborative spirit
  • Experience in event planning and management
  • Ability to handle sensitive information confidentially
  • Strong problem-solving skills and adaptability to a fast-paced environment
