Provide high-trust executive support to the founder by managing financial admin (invoicing, payroll, contracts), calendar and inbox triage, hiring coordination and onboarding, travel and personal logistics, and recurring operational tasks to ensure reliability and consistency.
The summary above was generated by AI

Most Executive Assistant roles are about managing someone else's calendar and inbox.

This one goes further: you'll take real ownership of financial admin, contracts, hiring support, and the founder's day-to-day. The things that need to get done right and on time, every time, without being chased.

If you want a role with real trust and real responsibility, not just task-following, but not "reinvent how the company works" either, this is built for that.

About Fuelerate

Fuelerate helps ecommerce brands grow through Conversion Rate Optimization (CRO), A/B Testing, and Meta Ads media buying.

We're growing fast enough that a lot of day-to-day operational work: invoicing, contracts, scheduling, hiring admin, has been sitting with the founder longer than it should. This role exists to take that off his plate, reliably.

What You'll Do

Financial & Contract Administration

  • Run the invoicing cycle and monthly payroll process
  • Prepare and send client and employee contracts from existing templates
  • Handle payment follow-ups
  • Specific scope and autonomy here are discussed as part of the interview process

Communication & Calendar

  • Manage inbox and Slack, triage what needs the founder's attention vs. what doesn't
  • Manage the calendar: book calls, protect focus time, keep things organized
  • Daily and weekly check-ins to keep everything on track

Hiring Support

  • Source and screen candidates against a role description
  • Manage the hiring pipeline and schedule interviews
  • Prepare onboarding documentation
  • You won't make the final hiring call, but you'll shape who gets in front of the founder

Founder Support

  • Travel planning and logistics
  • Personal appointments and errands where useful
  • Following up on what matters so nothing falls through

This is a role built on consistency and trust. Doing the recurring, important things right, every time, more than it's built on redesigning how things work. If you naturally spot a better way to do something, we want to hear it, but that's a bonus, not the job description.

What We're Looking For
  • Experience in Executive Assistance, HR/Recruiting, or Operations administration
  • Highly organized, comfortable with detail and repetition
  • Confident with ClickUp and Google Sheets (or a fast learner)
  • Clear written and spoken English
  • Trustworthy with sensitive information, financial, hiring-related, and personal
  • Reliable and consistent, someone who does what they say they'll do, on time, without being reminded
The Details
  • Remote
  • Full-time from day one
  • Strong written and spoken English required
  • Compensation: $1,000–$1,500/month, based on experience and performance

  • Major Tech Employers: Google, Apple, Salesforce, Meta
