Role 

The Executive Assistant will provide exceptional administrative, operational, and strategic support to the Global Head of Investor Partnerships and two Regional Partners. As a trusted business partner to the U.S.-based Investor Partnerships leadership team, this role is responsible for managing complex calendars, global travel, meeting logistics, communications, and day-to-day business operations, enabling leaders to focus on advancing fundraising initiatives, investor relationships, and other strategic priorities. 

This is a highly visible role requiring exceptional judgment, discretion, and professionalism. The successful candidate will anticipate needs, proactively solve problems, manage competing priorities with composure, and operate effectively in a fast-paced, high-performance environment. The Executive Assistant will serve as a central point of coordination across the Investor Partnerships team and collaborate closely with senior leaders, internal stakeholders, and external investors to ensure seamless execution of key activities. 

Success in this role requires outstanding organizational and communication skills, meticulous attention to detail, and the ability to handle confidential information with the highest level of integrity. The Executive Assistant will play a critical role in driving operational excellence, improving team efficiency, and creating an exceptional experience for both internal partners and external stakeholders. 

Essential Job Responsibilities 
  • Manage complex and dynamic calendars for the Global Head of Investor Partnerships, Head of Americas, and Global Head of Credit Capital Formation, prioritizing competing demands and ensuring optimal use of executives' time. 
  • Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, visas (as applicable), and comprehensive travel itineraries while anticipating changes and resolving travel issues proactively. 
  • Prepare, review, and submit timely and accurate expense reports and reimbursements in accordance with company policies. 
  • Coordinate and schedule internal and external meetings, including logistics, meeting materials, agendas, conference rooms, virtual meeting platforms, and follow-up action items as needed. 
  • Draft, proofread, and format professional correspondence, presentations, meeting agendas, and other business documents on behalf of supported executives. 
  • Organize and execute team meetings, offsites, investor events, and firm-sponsored events, including venue coordination, invitations, attendee communications, vendor management, and event logistics. 
  • Serve as a key point of contact for internal and external stakeholders, building strong working relationships while representing Galvanize with the highest level of professionalism, discretion, and enthusiasm for the firm's mission. 
  • Handle highly confidential and sensitive information with sound judgment, integrity, and the utmost discretion. 
  • Anticipate executive needs, proactively identify and resolve issues, and continuously improve administrative processes to enhance team effectiveness and operational efficiency. 
  • Partner closely with Executive Assistants and cross-functional teams across the firm to coordinate schedules, meetings, travel, and key business initiatives. 
  • Support special projects and other administrative or operational responsibilities as assigned. 
Required Qualifications and Competencies  
  • Bachelor's degree or equivalent combination of education and relevant professional experience. 
  • Minimum of four years of experience providing executive-level administrative support, preferably within financial services, investment management, private equity, or a similarly fast-paced professional services environment. 
  • Demonstrated experience managing complex calendars, coordinating domestic and international travel, and supporting multiple senior executives with competing priorities. 
  • Exceptional organizational skills and meticulous attention to detail, with the ability to manage multiple priorities, meet tight deadlines, and adapt quickly in a dynamic environment. 
  • Proven ability to anticipate executive needs, exercise sound judgment, and proactively identify solutions with minimal direction. 
  • Strong customer service orientation with a commitment to delivering a high-quality experience for executives, colleagues, investors, and other external stakeholders. 
  • Outstanding interpersonal, written, and verbal communication skills, with the ability to build trusted relationships across all levels of the organization. 
  • Demonstrated ability to handle highly confidential and sensitive information with professionalism, discretion, and impeccable judgment. 
  • Self-motivated, resourceful, and accountable, with the ability to work independently while collaborating effectively across teams. 
  • Advanced proficiency with Microsoft Office Suite, particularly Outlook, PowerPoint, Word, and Excel, along with experience using virtual meeting and collaboration platforms such as Microsoft Teams and Zoom. 
Compensation and Benefits  
  • Base salary pay band is $115,000 - $130,000. Note that salary pay bands reflect a wide range of experience levels and are used for both internal incumbents and new hires. 
  • Role is also eligible for an annual discretionary bonus
