Our client is looking for an Executive Assistant to provide high-level administrative and operational support to senior executives in a dynamic, fast-moving organization. They operate in the commercial real estate media and information space, providing daily industry news, market updates, conferences, and marketing solutions for professionals across the sector.
This role is ideal for someone highly organized, proactive, tech-savvy, and confident supporting executive-level priorities. The right candidate will help manage calendars, communications, meetings, documents, research, client interactions, and special projects while maintaining a high level of confidentiality and professionalism.
- Provide comprehensive administrative support to senior executives.
- Support the company’s values, vision, and mission through professional and reliable work.
- Manage executive calendars, including internal meetings, external meetings, conferences, and events.
- Schedule, coordinate, and prepare materials for meetings, calls, and executive activities.
- Prepare, format, review, and organize documents, reports, and presentations.
- Ensure written materials are accurate, consistent, polished, and aligned with company standards.
- Conduct research, gather information, compile data, and prepare summaries or reports to support executive decision-making.
- Coordinate meetings and events, ensuring all required resources, materials, and logistics are ready.
- Serve as a key point of contact between executives and internal or external stakeholders.
- Handle incoming and outgoing client calls, answer questions, provide information, and maintain a high level of customer service.
- Protect confidential information, sensitive documents, and private business matters.
- Manage administrative tasks and special projects as needed.
- Work independently while staying aligned with executive priorities and company needs.
- Adapt quickly to changing priorities in a fast-paced environment.
Requirements
- Previous experience as an Executive Assistant or in a similar administrative support role.
- Excellent verbal and written communication skills in English.
- Strong organizational skills and the ability to manage multiple priorities at once.
- Advanced proficiency with office tools and software, especially Microsoft Office.
- Strong attention to detail and commitment to accurate, high-quality work.
- Ability to handle confidential information with discretion.
- Confidence communicating with executives, clients, and internal teams.
- Ability to work independently and make sound decisions when needed.
- Adaptability and flexibility in a dynamic work environment.
- Strong customer service skills for handling client calls and inquiries.
- Tech-savvy mindset and ability to learn new tools quickly.
- Bachelor’s degree in Business Administration, Executive Secretarial Studies, or a related field.
- Proven experience supporting executives, leadership teams, or senior managers.
- Experience managing calendars, meetings, reports, presentations, and administrative workflows.
- Strong professional judgment and ability to prioritize tasks effectively.
- Comfortable working remotely with U.S.-based executives and stakeholders.
- Ability to communicate clearly, professionally, and confidently in English.
- Strong follow-through and ability to manage tasks with minimal supervision.
- Experience in media, commercial real estate, events, marketing, or professional services is a plus.
