Note: We are recruiting on behalf of our valued client. This opportunity is for a position with their organization, not with People Culture Talent. We're excited to help connect talented professionals with this exceptional team!

The Role

We're hiring an Executive Assistant to support the founders and leadership team of a fast growing stealth robotics company entering an exciting new phase of growth.

As the company's first Executive Assistant, you'll establish the systems and operational rhythm that enable leadership to move at a fast pace without sacrificing organization or focus. The role requires strong judgment and high attention to detail. You’ll need to anticipate needs, prevent problems, and remove barriers before they impact the team. By building organized systems, you'll help ensure leaders remain aligned on the company's highest priorities without letting anything fall through the cracks.

This role is based in San Francisco and requires working onsite with the team five days per week, given how closely integrated it is with day-to-day operations. If you are highly organized, instinctively proactive, and excited to streamline how a high performing team operates, we’d love to connect.

What You’ll Own
  • Executive Support — Manage complex calendars for founding team, coordinating meetings with internal stakeholders, external partners, and cross functional teams through multiple timezones.

  • Stay Ahead of Priorities — Anticipate friction points and put simple processes in place to ensure priorities and details don’t slip

  • Communication Management — Manage the cofounders inbox and communications, triaging messages and drafting/responding as needed

  • Coordinate Travel & Logistics — Coordinate travel logistics, including flights, lodging, ground transportation, and detailed itineraries

  • Culture & Events — Organize and support events such as team dinners, offsites, and special occasions

  • Workplace Operations — Support office operations by collaborating with the Operations Manager on facilities logistics, vendor management, and inventory tracking.

What You’ll Bring
  • Experience supporting senior executives, founders, or leadership teams in a fast paced, high growth environment

  • A proactive mindset with the ability to anticipate needs, solve problems independently, and create structure in evolving situations

  • Exceptional organizational skills with a track record of managing competing priorities, coordinating complex schedules, and keeping projects on track

  • Strong judgment and discretion, with the ability to manage sensitive information and confidential matters with professionalism and care.

  • A high level of ownership and accountability, with a willingness to step in wherever needed to help the team succeed

  • A genuine enthusiasm for being part of an in-person team and contributing to the energy of a company during a transformative period of growth.

  • Comfortable with modern workplace tools such as Google Workspace, Slack, Zoom, Notion, and spreadsheet applications; experience with expense management, presentation tools, or recruiting platforms is a plus

  • Additional experience supporting workplace operations, vendor relationships, event planning, or office management is welcome but not required

Why Join Now
  • A Rare Stage of Growth — The company has achieved meaningful traction and recently secured a $100M Series A, creating a unique opportunity to join at a moment where your work will directly influence how the company operates and grows as it enters its next chapter.

  • Real Impact — You'll join a team focused on solving complex challenges with technology that is already delivering measurable value in live environments.

  • Work Alongside Exceptional People — The team is composed of experienced builders and technical leaders who care deeply about their craft and maintain a high bar for execution.

  • Strong Backing and Long-Term Vision — With significant investor support and a growing market opportunity, the company is positioned to invest aggressively in both talent and technology for years to come.

  • Build the Future, Not Just Maintain It — This is an environment for people who enjoy creating and shaping what comes next, not simply operating within systems that already exist.

Compensation Band

The starting salary for this role is $90,000 USD, with a range up to $145,000 USD. The provided salary depends on many factors, such as work experience and transferable skills, business needs and impact, and market demands.

About Our Client

This fast growing stealth robotics company is building advanced technologies that help organizations tackle some of the most complex challenges in the physical world. Recently backed by a $100M Series A led by top tier investors, the company combines cutting edge hardware with operational intelligence to develop solutions that improve how critical work gets done at scale.

Focused on deployment and measurable outcomes, the team is committed to bringing technology into live operating environments rather than keeping it confined to research and development. Their products are already generating valuable data and insights that accelerate innovation and strengthen their long term advantage.

As the company enters an exciting new phase of growth, it is investing heavily in both talent and technology. For individuals who are energized by ambitious challenges, meaningful ownership, and the opportunity to make a lasting impact, this is a rare chance to join at a transformative moment in the company's journey.
