Position Overview:

Ideal Living is looking for a highly organized, proactive, and energetic Executive Coordinator to support our Senior Vice President across partnerships, communications, retail initiatives, and day-to-day executive operations.

This is a unique opportunity for someone early in their career who wants to learn how a growing consumer products company operates behind the scenes. You'll work closely with senior leadership while gaining hands-on experience in business development, retail partnerships, influencer marketing, communications, public relations, and brand strategy.

The ideal candidate is someone who loves staying organized, enjoys building relationships, takes initiative, and finds satisfaction in helping projects move forward. No two days are the same, and you'll have the opportunity to contribute across multiple areas of the business while building valuable experience and skills.

Key Responsibilities:

Executive Operations & Strategic Coordination

  • Serve as a strategic partner to the Senior Vice President by managing priorities, coordinating initiatives, and ensuring timely execution of key business objectives.
  • Independently assess competing priorities and make recommendations regarding scheduling, resource allocation, stakeholder engagement, and project timelines.
  • Lead coordination of cross-functional initiatives, ensuring alignment among internal teams and executive leadership.
  • Monitor progress against strategic goals, identify potential obstacles, and proactively recommend solutions to keep projects moving forward.
  • Prepare executive-level presentations, reports, business updates, and briefing materials to support decision-making and organizational planning.
  • Represent the SVP in meetings and follow-up discussions as appropriate, helping drive accountability and execution across the organization.
  • Develop and maintain systems, processes, and tools that improve operational efficiency and executive effectiveness.
  • Manage sensitive and confidential information while exercising sound judgment and discretion.

Strategic Partnerships & Business Development

  • Coordinate and manage partnership initiatives across affiliate, influencer, retail, media, and strategic business relationships.
  • Serve as a primary point of contact for external partners, facilitating communication, relationship management, and ongoing collaboration.
  • Research, evaluate, and develop recommendations regarding potential partnership opportunities that support company growth objectives.
  • Prepare business proposals, retailer presentations, partnership agreements, and executive communications related to strategic initiatives.
  • Track partnership performance, business development opportunities, and key metrics, providing insights and recommendations to leadership.
  • Collaborate with internal stakeholders to ensure partnership commitments, deliverables, and objectives are successfully executed.
  • Identify opportunities to strengthen existing relationships and improve partnership effectiveness.

Communications & Brand Initiatives

  • Support the development and execution of executive, corporate, and brand communication strategies across AirDoctor, AquaTru, and Ideal Living.
  • Draft and refine executive communications, talking points, presentations, newsletters, and external-facing materials.
  • Coordinate communication efforts with public relations agencies, media partners, and industry stakeholders.
  • Monitor industry trends, media coverage, and competitive activity, providing summaries and recommendations to leadership.
  • Support thought leadership initiatives, speaking engagements, podcasts, webinars, industry events, and award submissions.
  • Manage communication timelines and ensure alignment between internal and external messaging.
  • Identify opportunities to enhance brand visibility, strengthen stakeholder engagement, and support company objectives.

Project Leadership & Continuous Improvement

  • Independently manage multiple concurrent projects and initiatives while balancing evolving business priorities.
  • Develop project plans, establish timelines, and coordinate stakeholders to ensure successful execution.
  • Recommend process improvements and operational efficiencies that enhance collaboration and organizational effectiveness.
  • Analyze project outcomes, identify lessons learned, and implement improvements to support future initiatives.
  • Act as a trusted resource for leadership by anticipating needs, solving problems proactively, and driving projects to completion.

Qualifications:

Required Qualifications

  • Bachelor's degree in Business Administration, Communications, Marketing, Public Relations, or a related field, or equivalent combination of education and experience.
  • 3-5 years of professional experience in executive support, project coordination, communications, business operations, partnerships, marketing, or a related function.
  • Demonstrated ability to manage multiple priorities and projects simultaneously in a fast-paced environment.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent written and verbal communication skills with the ability to interact professionally with executives, external partners, and cross-functional teams.
  • Experience preparing presentations, reports, business correspondence, and executive-level materials.
  • Proficiency with Google Workspace, Microsoft Office, and project management tools.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Proven ability to exercise sound judgment, take initiative, and work independently with minimal supervision.

Preferred Qualifications

  • Experience supporting senior executives or leadership teams.
  • Experience working with partnerships, business development, retail, marketing, communications, public relations, or influencer programs.
  • Experience coordinating cross-functional projects and managing competing priorities.
  • Familiarity with consumer products, e-commerce, retail, wellness, or lifestyle brands.
  • Experience working with agencies, external vendors, media contacts, or strategic partners.
  • Knowledge of project management principles and process improvement methodologies.
