Executive & Team Coordinator
The Role
What You’ll Do
What We’re Looking For
Even Better If You Have
How We Work
Basalt Health is looking for an Executive & Team Coordinator to help keep our leadership team and broader team organized and moving.
We’re a small and growing company, so this isn’t a role where every day looks the same or everything fits neatly into a job description. Yes, there will be calendars and travel. But you’ll also sit in on leadership meetings, help build presentations for our Board, keep track of what we said we were going to do, coordinate team meetings, schedule candidates, chase down vendors, and get the occasional “can you figure this out?” request.
We’re looking for someone who likes being the person who keeps track of the details, follows things through, and makes it easier for everyone else to do their jobs.
We’re also looking for someone who is interested in growing beyond where they are today. This role gives you a front-row seat to a lot of the business: leadership discussions, board meetings, customers, hiring, people and operations. We want someone who is curious about all of it and sees that exposure as a chance to learn, stretch, and start figuring out what might be next.
- Manage calendars, meetings, and scheduling for our leadership team
- Coordinate travel and make sure the details are covered
- Support our Board of Directors, including coordinating meetings, building board presentations and materials, and handling board communications and follow-up
- Sit in on key leadership and company meetings, capture decisions and action items, and make sure the follow-up actually happens
- Help prepare presentations, documents, correspondence, and other materials for leadership
- Help plan team meetings, events, and other company activities
- Coordinate candidate interviews and other recruiting logistics
- Keep track of deadlines, commitments, and the things that have a tendency to fall through the cracks
- Help with expenses, invoices, vendors, and other administrative needs
- Keep company files and information organized
- Communicate with employees, customers, candidates, vendors, board members, and partners
- Pitch in on people, operations, and team projects
- Handle confidential information with good judgment and discretion
- Notice when something needs to get done and, whenever possible, just get it done
- Experience in executive or administrative support, customer service, office operations, or something similar
- Really good organizational skills and attention to detail
- Strong written and verbal communication
- Good judgment. You know what needs attention now, what can wait, and when you need to ask
- Someone who can have several things going at once and still knows where all the balls are
- Follow-through. If you say you’re going to do something, people should be able to count on it
- Comfortable with technology and willing to learn whatever tools we’re using
- Comfortable with AI and willing to use it. We want you to use the tools available to work smarter and faster, but not outsource your judgment to them
- Able to work independently without being afraid to ask questions
- A service mindset. Sometimes the customer is a Basalt customer. Sometimes it’s a candidate, a teammate, a board member, or the person who needs a meeting moved for the third time
- Curious and interested in growing. You want to do this job really well while learning the business and taking on more as you’re ready
- Experience supporting senior leaders
- Healthcare experience or familiarity with healthcare
- Experience coordinating calendars, travel, meetings, or events
- Experience building presentations or supporting leadership or board meetings
- A college degree is a plus, but not required
Our cornerstones at Basalt are Curious, Truth Seeking, Customer Obsessed, Transparent, and Accountable. They aren’t words we put on a wall and forget about.
For this role, they’re pretty practical: ask questions, tell the truth when something isn’t working, think about the person on the other end, communicate early, and own what you said you would do.
We don’t expect you to know everything. We do expect you to be willing to figure things out.
And because we’re still building Basalt, there will always be things that aren’t technically “your job.” That’s true for all of us. If you see those moments as a chance to learn something new, take on a little more, and see where it might lead, you’ll probably like it here.
