About us

Discovered Labs is a search and AI visibility agency working with B2B SaaS companies.

The role

You'll run the operational backbone of the company: money in, money out, people in, and every process we haven't automated yet. Your job is to make sure nothing falls through the cracks, and then to make sure it can't.

What you'll do

Money out

  • Process supplier bills and expenses, and prepare payment runs for founder approval

  • Prepare monthly contractor payroll across currencies, check it against agreed rates, and send it for approval

  • Track affiliate and referral partners, calculate commissions and prepare payouts

Money in

  • Raise client invoices and keep the receivables list current

  • Chase late payments politely and persistently, and escalate when needed

  • Keep a simple weekly cash position for the founders

People and onboarding

  • Run onboarding and offboarding for contractors and clients: contracts, accounts, tool access, checklists

  • Keep contractor records, agreements and rates up to date

Everything else

  • Take on any manual process the founders hand you, document it, and automate it where you can

  • Run founder projects from start to finish and keep a weekly list of open items

  • Be the main contact for our UK accountant on document requests

You have
  • 1 to 3 years in any role involving operations, admin, finance, customer work or STEM. Strong recent graduates are welcome

  • Regular, hands-on use of AI tools like Claude, Claude Code or Codex in your daily work. You can show us something you've built or automated with them

  • Clear written and spoken English: you'll be emailing clients, contractors and partners

  • You're comfortable talking to clients about money, and you can chase a late payment while keeping the relationship warm

  • You figure things out: when something's manual, you hack together a fix with Claude, Codex or no-code tools without being asked

Nice to have
  • Any exposure to invoicing, payroll or bookkeeping

  • Experience at a startup or agency

  • Has connected AI tools to other software (MCP, APIs, Zapier, n8n)

  • Familiar with Stripe, Xero/QuickBooks, Notion or ClickUp

What we offer
  • Training on every process, then real ownership of it

  • Direct access to the founders and a clear path to grow into a Chief of Staff role

  • Fully remote, +-4 hours with CET

How to apply

Send us your CV and a Loom of up to 3 minutes. Share your screen and show us something you've built or automated with AI, such as Claude, Codex or ChatGPT. Explain it as you would to a client who isn't technical: what problem it solves, how it works and how much time it saves.

Shortlisted candidates get a 30-minute take-home task by email. If that goes well, you'll have one call with a founder.

  • Major Tech Employers: Google, Apple, Salesforce, Meta
