About the Role

We're looking for a Founder's Associate who sees this role as more than just keeping things running. You'll be the operational backbone of our SF and Dublin offices — the person who makes sure two Co-Founders can stay focused on building the company, every new hire arrives to a desk that's actually ready for them, and the office genuinely feels like a place people want to be.

This role sits at the intersection of executive support, office management, and people operations. It touches nearly every part of how Solidroad runs and how its employees experience it day-to-day. You'll report to the Head of Operations and work in close partnership to keep everything moving — from managing Co-Founder calendars and coordinating cross-timezone meetings, to organizing candidate interviews , handling immigration paperwork, and making sure swag boxes land on time. There will be a lot happening in parallel. That's the job, and the right person will love it.

What You'll Actually Do Day-to-Day
  • Be the Right Hand to Both Co-Founders

    Own and manage Co-Founder calendars — scheduling meetings, calls, interviews, and syncs with accuracy and prioritization. You'll monitor and triage inboxes, draft responses, manage travel logistics, and anticipate what's needed before you're asked. Building enough context to support both Founders proactively isn't a bonus — it's the expectation.

  • Run Recruiting Operations

    Manage relationships with external hiring agencies, coordinate the recruiting pipeline via Slack and Ashby, schedule interviews across time zones, and keep pipeline hygiene clean. You'll be the connective tissue between senior leaders, hiring managers, and candidates — making sure the process is responsive and nothing falls through the cracks.

  • Keep Both Offices Running Seamlessly

    Own daily office operations for SF and Dublin: food, drinks, snacks, supplies, lunch catering, vendor relationships, and the kind of quiet logistics that only get noticed when they go wrong. You'll also support the Head of Events & Operations on office construction and reorganization projects, coordinate with facilities vendors, and communicate changes clearly to both teams. The goal is simple — both offices should feel equally cared for, every single day.

  • Own the New Hire Experience

    Every new hire at Solidroad should arrive to a fully set-up desk, working equipment, a swag box waiting for them, and a clear onboarding schedule. You'll own all of that. From coordinating IT setup and laptop ordering to managing the swag inventory and making sure Day 1 actually feels like Day 1 at a company that has its act together.

  • Manage Immigration and Visa Logistics

    Work directly with the company's immigration lawyer to track visa applications and renewals for relevant employees. Maintain timelines, documentation, and reminders so nothing lapses. Serve as the internal point of contact for employees navigating immigration processes.

  • Support Events, Offsites, and Team Experience

    Help plan and execute the things that bring the team together — conference travel, company off-sites, team dinners, internal celebrations. You'll coordinate logistics, manage vendor bookings, and work with the Dublin team to ensure consistency across offices.

  • Have experience in an Executive Assistant, Office Manager, Recruitment Coordinator or People Operations role — ideally in a tech startup environment where the scope evolves and no two weeks look the same.

  • Bring exceptionally high organizational standards and strong follow-through. You don't drop things. You build systems so things don't get dropped.

  • Are proactive and self-directed. You identify what's needed before being asked and act on it. You don't wait to be managed.

  • Are discreet and trustworthy with sensitive information — from Founder calendars to immigration documents to hiring pipelines.

  • Communicate clearly and professionally — with vendors, candidates, employees, and Founders alike.

  • Bring genuine warmth. You understand that how the office feels matters as much as how it functions.

The highs here are real — you'll have direct proximity to the Founders, significant ownership over things that actually matter, and the satisfaction of knowing that when things run well, it's because of you. The lows are that the scope is wide, priorities shift fast, and you'll need to hold a lot of parallel workstreams without losing anything.
