You would join as a founding operations hire and work directly with the founder and CEO to help build the company’s “internal operating system” from the ground up. This is a high-trust, high-impact role for someone who wants to be deeply embedded in the day-to-day rhythm of a fast-moving startup and help turn chaos into clarity.

Purpose

We’re hiring our first executive assistant and operations lead. You will be the person who helps keep the CEO, team, and company running smoothly. This role blends executive support, project management, internal operations, hiring coordination, communications, and is all about owning the critical “whatever it takes” projects that move the company forward.

If you love context-switching, are energized by solving problems before others see them, and enjoy being the person who quietly makes everything work, this role is for you. At Arcturus, this person will be a true force multiplier for the CEO and a key builder of the company behind the scenes.

The role

Executive support (45%)

  • Work with CEO to create a strong first-draft slide deck for meetings (ie. from team updates to investor pitches to other high-stakes conversations), using Google Slides so the CEO can polish, refine, and take the final version forward

  • Own the CEO’s calendar, including scheduling, rescheduling, prioritization, and time protection across internal, investor, hiring, and external meetings

  • Draft, edit, and help manage CEO email communications and follow-ups

  • Coordinate high-stakes meetings with investors, partners, candidates, and other key external stakeholders

  • Track action items, priorities, and deadlines for the CEO, and proactively help keep important work moving

  • Arrange travel and create clear, simple itineraries as needed

Operations and project management (30%)

  • Work with the CEO to help design and run Arcturus’ project management system (ie. tools such as Jira, Confluence, Notion, Trello, or other platforms)

  • Utilize that system to track priorities, timelines, owners, and progress across the company

  • Create and improve internal processes and workflows that make the team more organized, efficient, and aligned

  • Support broader operational responsibilities as needed, including logistics, supplies, vendor coordination, basic finance admin, legal coordination, and office needs

  • Jump into special projects that help move the company forward, whether that means research, planning, coordination, or execution

Hiring and team support (10%)

  • Help coordinate recruiting, candidate scheduling, the applicant tracking system (ie. Ashby), interview logistics, and follow-up communication

  • Support new hire onboarding logistics, including equipment, accounts, and welcome details

  • Assist with basic people operations and administrative support as the team grows

Communications and brand support (10%)

  • Help draft and manage social media content for both the CEO and the company

  • Support company communications around milestones, events, hiring, and external visibility

  • Help polish written materials across hiring, outreach, operations, and internal communications

Personal Support to CEO (5%)

  • Handle ad-hoc personal tasks that free up the CEO’s time and attention

  • Manage any additional personal logistics if needed

Qualifications

  • 3+ years of relevant experience in executive support, operations, project management, chief of staff support, recruiting coordination, or a similar role

  • Highly organized and exceptionally detail-oriented, with the ability to keep many moving pieces on track at once

  • Strong judgment and a clear sense for what is urgent, what is important, and what can be streamlined or handled independently

  • Excellent written and verbal communication skills

  • Strong project management instincts and the ability to build structure from scratch

  • Systems-minded, resourceful, and proactive

  • Comfortable working across technical and non-technical contexts

  • High ownership, high discretion, and strong follow-through

  • Excited to work closely with a founder and help build a company from the ground up

Preferred qualifications

  • Experience supporting a founder, CEO, or senior executive in a startup or other fast-paced environment

  • Familiarity with project management, scheduling, recruiting, and collaboration tools

  • Comfort with light operational admin across hiring, finance, logistics, and internal coordination

  • Experience helping manage company or executive social media

  • Experience creating polished first-draft slide decks in Google Slides for executives, investors, internal updates, or external presentations

Compensation: $70-$90k
