Position Summary

The Corporate Receptionist will report directly to the Manager, Human Resources and is responsible for all front desk and lobby activities. This person will politely and professionally greet and process visitors, answer and filter incoming calls, and route visitors and callers to the appropriate personnel. The Corporate Receptionist performs inbound and outbound mail tasks; handles flow of correspondence, and routes inbound mail to proper personnel in a timely manner. This person will provide general office support for all personnel with a variety of clerical activities and related tasks. The Corporate Receptionist assists the Executive Team and Human Resources Department with a variety of tasks and projects as requested.

 

Essential Tasks, Duties, & Responsibilities

  • Take proactive ownership of all Reception Desk and Mail Room activities and functions
  • Greet all visitors and callers in a professional manner, and route to appropriate personnel; provide callers with general company information such as address, directions, fax numbers, website address and other related information
  • Assist and process visitors with sign-in and visitor ID procedures, as required by company security policies; monitor visitor access and help maintain security awareness
  • Maintain all current health and safety protocols (Covid-19 procedures, security procedures, etc.)
  • Take initiative in keeping the reception area and Mail Room clean and organized, identify and implement systems to maintain the reception area in an attractive and functional manner
  • Receive, sort, and distribute inbound mail and packages in a timely manner
  • Prepare and post outbound mail, and notify appropriate personnel of deliveries
  • Perform the preparation, pick-up, and delivery of express mail services (FedEx, UPS, etc.), and provide follow up as needed
  • Maintain Company Directory with current employee information
  • Coordinate Conference Room reservations
  • Promptly process EV Charging Station requests and maintain related communications via email
  • Assist with HR-related tasks, document preparation, special projects, etc.
  • Track and assist in the ordering, stocking, and distribution of office and lunchroom supplies
  • Plan, order, set up company lunches, parties, and events; perform facility decorating
  • Assist all departments with clerical and administrative duties as needed
  • Perform other duties as needed and directed by management

 

Minimum Qualifications

Education & Experience

  • High school diploma or equivalent required
  • One (1) year of receptionist or administrative experience

 

Knowledge, Skills, & Abilities

  • Ability to fluently read, write, and speak English and Spanish required
  • Knowledge of basic administrative and clerical procedures
  • Knowledge of standard office equipment usage, such as computers, phones, photocopiers, filing cabinets, and fax machines
  • Knowledge of basic computer operation and software programs such as Microsoft Office Suite (Microsoft Outlook, Word, Excel, etc.)
  • Knowledge of customer service principles and practices
  • Effective verbal and written communications skills
  • Skilled with independent problem solving and finding alternative solutions to resolve issues
  • Must be able to accurately type 50+ WPM
  • Skilled in using a multiline telephone system
  • Ability to work independently, without constant direct supervision
  • Ability to communicate with business partners accurately and effectively in a professional manner
  • Ability to organize multiple work assignments and establish appropriate priorities
  • Ability to pay close attention to detail and ensure accuracy
  • Ability to work effectively with others in a team-based environment to accomplish company goals, in accordance with company policies and standard operation procedures
