Requirements
Responsibilities
Email Management: Organize and manage high-volume inboxes, ensuring timely responses and cleanup.
Course & Program Support: Assist in the creation of course materials (Canva, PowerPoint), and manage communications and follow-ups for webinars, coaching programs, and small group sessions.
Billing & Account Cleanup: Resolve billing issues, verify charges, and merge or clean up duplicate accounts.
File Organization: Maintain and improve structure within Google Drive.
Client Follow-Ups: Conduct follow-ups with clients, especially in industries like medical aesthetics, dermatology, and healthcare.
Inbound/Outbound Calls: Occasionally assist with client calls when needed, supplementing virtual receptionist support.
SOP Implementation: Operate within established SOPs and assist in building new processes for scaling programs.
Ideal Candidate
Administrative Expertise: Proven experience managing email, calendar, and general admin tasks.
Tech-Savvy: Comfortable using tools like ChatGPT, Gemini, Lm Notes, and other AI productivity apps.
Software Proficiency: Skilled in Google Workspace, GoHighLevel (GHL), PowerPoint, Canva, and spreadsheets.
Strong Communicator: Excellent written and verbal communication; prefers email and text for daily updates (Zoom for meetings).
Experience in Consulting Support (preferred): Previous experience assisting business coaches or consultants is a plus.
Proactive & Process-Oriented: Always looking to optimize workflows, accepts feedback, and drives efficiency.
Independent & Reliable: Works well with minimal supervision after initial onboarding.
Growth-Oriented: Interested in growing into an operations coordinator/manager role in the future.
