Build and manage Execo’s global procurement function, including policies, approval workflows, vendor records, sourcing, IT and office purchasing, cross-border imports, lease negotiations, contract management, asset tracking, spend controls, reporting, and audit-ready documentation. The role requires managing procurement across multiple countries, negotiating with vendors, and coordinating with Finance, Legal, and People teams from Metro Manila.
Build the function
- Design and document Execo's procurement policy, purchase request process and approval workflow, with Finance.
- Set up and maintain a central register of vendors, contracts, renewal dates and spend by entity and country.
- Create standard templates: purchase requests, request for quotation, vendor comparison and purchase orders.
Source and buy
- Run sourcing for every purchase category, with a minimum of three quotes where the policy requires it.
- Own technology procurement: laptops, peripherals, software licences and IT equipment, including hardware for the Kenya team and future projects.
- Manage office supplies and consumables across all offices.
- Handle cross-border purchases, including import duties, shipping, customs clearance and in-country delivery.
Manage vendors and contracts
- Lead office rent and workspace negotiations, renewals and exits, in coordination with Legal and Finance.
- Negotiate pricing, payment terms, warranties and service levels with vendors.
- Track vendor performance and renewal deadlines so nothing auto-renews unreviewed.
- Maintain an asset register of company-owned equipment, including issue and return of employee devices.
Control and report
- Review every purchase request for business need, budget availability and correct approval before commitment.
- Report monthly spend, savings achieved and open commitments to the Head of People & Culture and Finance.
- Keep procurement records audit-ready for each entity's local tax and accounting requirements.
Requirements
Must have
- 6+ years in procurement or purchasing, with at least 2 years managing the function or a category.
- Experience setting up procurement processes from scratch, not only running existing ones.
- Direct experience buying IT hardware and software at volume.
- Proven cross-border purchasing across at least two countries, including import, customs and freight.
- Experience negotiating office leases or facilities contracts.
- Strong Excel or Google Sheets skills; comfortable building trackers and spend reports.
- Excellent written English for working with vendors and executives in multiple time zones.
Nice to have
- Background in a BPO, shared services or multinational procurement team serving several countries.
- Experience buying in Africa or India, especially Kenya.
- Familiarity with procurement or spend tools (e.g. Zip, Procurify, Coupa) or accounting systems like Xero or QuickBooks.
- Degree in supply chain, business or a related field; CIPS or similar certification.
