Role Overview

This role owns the design, launch, and ongoing maturation of a globally scaled IT Peripheral Vending Program. You will lead program strategy, vendor operations, analytics, and cross-functional integration across IT, Workplace, Finance, and Procurement. You will drive the program from its current foundation stage deployments through full global scale by the end of 2027.

This is a high-visibility, high-ownership role. You will define the operational model, make placement and inventory decisions backed by data, manage vendor-managed replenishment relationships, and integrate vending workflows with ITSM and ITAM platforms. The program operates as permanent IT infrastructure across all global offices.

What You Will Do

Program Design and Launch

  • Define and document the end-to-end operational model and technology roadmap for vending and automated locker deployments globally.

  • Lead site assessment and machine placement methodology using foot traffic data, badge access analytics, and occupancy signals.

  • Own the global deployment roadmap, sequencing US expansion and international rollouts through 2026 and 2027.

  • Develop the peripheral catalog framework including standard assortments, specialized lab configurations, and SKU governance processes.

  • Establish par levels, replenishment triggers, and stockout tolerance thresholds by SKU category and location type.

Vendor Management and VMI Operations

  • Own relationships with vending hardware vendors and third-party logistics and replenishment providers.

  • Negotiate and manage vendor-managed inventory contracts including consignment, pay-on-dispense, and purchase order models.

  • Define vendor SLAs covering restocking cadence, machine uptime, dispense success rate, and on-site response time.

  • Ensure vendors have real-time or near-real-time visibility into machine inventory levels through system integration or data feeds.

  • Drive quarterly vendor business reviews and escalate performance gaps through a defined governance process.

Analytics and Demand Planning

  • Launch and own vending analytics dashboards covering machine utilization, peripheral demand, inventory turnover, and geographic usage trends.

  • Build a demand planning baseline from transaction data segmented by SKU, location, team, and time period.

  • Implement rule-based VMI by mid-2026 and lead the transition to predictive demand planning as a 2027 capability.

  • Define anomaly detection thresholds and escalation paths for unusual consumption patterns.

  • Partner with a BI or data engineering team to extend existing analytics platforms rather than introduce standalone tooling.

Systems Integration

  • Lead integration of vending access with identity systems and SSO to enable authenticated, auditable dispense transactions.

  • Coordinate ITSM integration for device locker pickups, exchanges, and replacements can be triggered through service workflows.

  • Define data flows between the vending platform, ITAM system, and CMDB to ensure accurate asset lifecycle tracking.

  • Partner with MDM and endpoint management teams to enable proactive device refresh and health-triggered locker workflows.

  • Ensure vending transaction data flows into procurement and ERP systems to support financial reconciliation and audit requirements.

Governance, Compliance, and Policy

  • Author and maintain the program playbook, acceptable use policy for vending and locker access.

  • Define the data retention and privacy framework for dispense transaction records, with specific attention to GDPR requirements for EU locations.

  • Establish internal audit and finance reconciliation processes for vending inventory and asset records.

  • Assess export control restrictions applicable to hardware SKUs planned for international machine deployments.

  • Build and maintain a program RACI covering IT Operations, ITAM, Workplace, Finance, and Procurement.

What You Bring

Required Experience

  • 5 or more years of program or project management experience in IT operations, IT asset management, supply chain, or a related field.

  • Demonstrated experience managing multi-site or global hardware deployment programs from design through steady-state operations.

  • Hands-on experience with vendor management including contract negotiation, SLA definition, and performance governance.

  • Experience working with ITSM platforms such as ServiceNow or Jira Service Management in an operational context.

  • Ability to interpret operational data and translate analytics into inventory, placement, or replenishment decisions.

  • Strong cross-functional collaboration skills across IT, Workplace, Finance, and Procurement stakeholders.

Preferred Experience

  • Experience managing automated vending, locker, or self-service hardware programs in an enterprise environment.

  • Familiarity with vendor-managed inventory models including consignment and pay-on-dispense structures.

  • Experience with ITAM platforms such as ServiceNow ITAM, Flexera, or Oomnitza.

  • Working knowledge of SSO and identity platform integration in an enterprise context such as Okta or Azure Active Directory.

  • Exposure to MDM platforms such as Jamf, Intune, SCCM, and familiarity with device health telemetry sensors and concepts like Tanium.

  • Experience with BI and analytics tools such as Looker, Tableau, or Power BI for operational reporting.

  • International program management experience including awareness of customs, import/export, and data privacy compliance such as GDPR.

Core Competencies

  • Operates with high autonomy and strong ownership in ambiguous, fast-moving environments.

  • Builds operational models from first principles rather than relying on inherited playbooks.

  • Communicates clearly with both technical and non-technical stakeholders at all levels.

  • Makes data-informed decisions and is comfortable building the data infrastructure needed to do so.

  • Manages vendor relationships with commercial discipline and operational rigor.

  • Designs for scale from day one rather than retrofitting operational frameworks late in the program lifecycle.
