About the Role:


We’re looking for a Junior Project Manager to assist our Speaker Managers in their day-to-day tasks.

Responsibilities:
  • Email Management: Efficiently follow up on project management-related emails and provide responses to basic organizational queries.

  • Data Management: Maintain and update spreadsheets and databases, including tasks such as keeping contact details current and recording meeting attendance.

  • Meeting Coordination: Organize and execute meeting chase activities, ensuring that meetings occur as scheduled.

  • Client Call Management: Organize client calls, coordinating schedules and logistics for seamless client interactions.

  • Interdepartmental Collaboration: Foster and maintain smooth collaboration and support with Ad hoc task with other departments within the organization, promoting a cohesive work environment.

  • Document Preparation: Prepare necessary documents using platforms such as Google Drive and iCloud, ensuring that all required materials are readily available for project management tasks.

  • Liasing with Board Members: Outreach to Board Members to ensure scheduling accuracy

Requirements
Mandatory Requirements:
Project Management Experience: Previous experience in project management, demonstrating an understanding of project management principles.

Process Orientation: Strong orientation toward structured processes and methodologies.

Communication Skills: Excellent verbal and written communication skills in English, with a professional business standard. Must be friendly, professional, and discreet in all client interactions.

Autonomous Work: Ability to work with minimal direct guidance once familiar with the workflow and typical responsibilities.

Cross-Functional Collaboration: Willingness to collaborate on various projects and with different departments, promoting a cross-functional approach.

Event Experience: Experience in event management, demonstrating the ability to plan, coordinate, and execute events effectively.

Team Player:  A valuable team member who works effectively with colleagues.

Language: English is the native language.

Nice to Have:

Marketing Experience: Previous involvement in marketing activities, with an understanding of marketing strategies and tactics.

CRM System Experience: Familiarity with Customer Relationship Management (CRM) systems, particularly Zoho CRM or similar platforms, would be a plus.

Technical Knowledge: Proficiency in using iCloud and Google Suite apps, and familiarity with Zoho Suite (desirable: Zoho CRM, doodle, Google Calendar). This includes the ability to navigate and efficiently utilize these applications.

Special Time Requirement:

General Availability: The candidate must have general availability on weekdays between 3 and 6 pm CET. This availability ensures they can attend to routine tasks and communications during these hours.

Peak Availability (March to June): Between March and June, the candidate should exhibit increased availability to accommodate short-notice task requests. This flexible scheduling is crucial during this period.

Summit Experience (May): The candidate must be fully available during the 4-day Summit Experience in May. This includes being accessible during official Programme hours and immediately before and after these hours. The specific hours for this event will be communicated closer to the date.
