In close partnership with the Executive Director, the Key Account Operations & Planning Manager is responsible for building annual retail and net sales plans for assigned accounts while overseeing the operational backend that brings those plans to life. This role focuses on translating high level strategy into meticulous data administration, leveraging data-driven analysis and market insights to optimize inventory productivity, identify growth opportunities, and minimize liabilities. By proactively managing both the planning infrastructure and day to day execution, the Manager plays a critical role in achieving annual sales objectives, reducing unproductive stock, and driving profitable channel growth.
Essential Job Functions
Account Planning & Inventory Management
- Monitor the end-to-end purchase order (PO) lifecycle, including newness and basic replenishment orders, to ensure correct quantities are placed by the retailer, track fulfillment, analyze inventory cuts, and liaise directly with retail accounts to resolve day-to-day operational or shipping inquiries.
- Track order fulfillment and work directly with the internal Customer Operations team to request or reallocate inventory as needed.
- Help resolve stock concerns and inventory requests from the field as appropriate.
- Forecast returns, Destroy in Field (DIF) allocations, and manage product discontinuations to aggressively reduce overall RTV liabilities.
- Coordinate subsequent RTV (Return to Vendor) authorization and tracking, ensuring strict adherence to budget guidelines and internal control procedures.
- Analyze retailer Open-to-Buy (OTB) monthly, ensuring no unexpected changes or potential issues arise after each month's lock.
- Navigate internal and external corporate workflows to retrieve and document all necessary operational approvals.
- Own the technical setup and maintenance of product data, including uploading New Product Forms (NPFs) and sample details into retailer PIM systems.
- Create, submit, and maintain retail assortment files for Sephora, working in close partnership with the Executive Director and the Visual Merchandising (VM) team to ensure continuous data accuracy.
Reporting & Data Management
- Collaborate with internal partners to create performance goals by door, week, quarter, and channel during annual budgeting and re-trending moments.
- Build retail sales plans for new launches, while tracking real-time achievement and sell-through of established sales objectives.
- Compile, update, and maintain regular sales and inventory reports (including best sellers, door rankings, and topline sales results) and share them out to the broader team for strategic review.
- Build and compile ad-hoc sales data requests to support business reviews, structuring reports to track Year-over-Year (YoY) trends, shelf productivity, and sell-through performance.
- Participate in weekly sales reviews with management to track ongoing performance.
- Participate in regular budget and tracking reviews directly with the Executive Director.
- Experience: 3+ years of experience in retail sales planning, demand forecasting, or inventory planning, combined with a strong background in retail sales operations or commercial data analysis (ideally within high volume retail or the beauty/cosmetics industry).
- Bonus Experience: Background in sales administration and account coordination is highly valued and considered a strong asset.
- Retail Platform Proficiency: Direct hands-on experience navigating and managing major retailer portals and vendor networks (such as Sephora, PIM systems, or automated replenishment software).
- Analytical Skills: High proficiency in Microsoft Excel (VLOOKUPs, pivot tables, data manipulation) with a proven ability to organize complex SKU-level data and identify trend shifts.
- Retail Math Literacy: Strong baseline understanding of inventory and commercial metrics, including Open-to-Buy (OTB), sell-through, Weeks of Supply (WOS), and Return to Vendor (RTV) processes.
- Operational Agility: Exceptional attention to detail with the ability to manage multiple tracking files simultaneously and cross-functionally follow up on administrative approvals.
Anastasia Beverly Hills offers a competitive compensation package with full benefits and a 401(K) plan with matching contributions from the company. The starting base salary range for this position in the selected city $85,000 - $95,000 per year. Compensation may vary outside of this range depending on several factors, including a candidate’s qualifications, skills, competencies, experience, and geographical location. Base pay is one part of the total compensation package that is provided to compensate and recognize employees for their work. This role is bonus eligible.
