Cineverse is seeking a highly organized, service-oriented Manager, Administration & Workplace Operations to support the day-to-day administration and workplace operations of our Burbank office, with remote support for our New York office and coordination for other locations as needed. As a key member of the People & Operations team, this role serves as an operational hub for office administration, workplace support, communication, systems coordination, expense management, shared resource management, and process execution. The Manager helps ensure a consistent employee experience across onsite, hybrid, and remote work environments while supporting practical, scalable, and budget-conscious business practices.

Key Responsibilities

  • Manage the day-to-day administration of the Burbank office while providing remote operational support for the New York office and assisting additional domestic and global locations as needed.
  • Coordinate office services, supplies, mail, shipping, deliveries, and maintenance requests to maintain a professional, organized, and employee-ready environment.
  • Oversee shared workplace resources across locations including conference rooms, meeting spaces, hoteling workstations, shared offices, and other reservable spaces. Manage scheduling tools, booking processes, usage standards, and workplace best practices to improve accessibility, consistency, and operational efficiency.
  • Partner with vendors, building management, service providers, contractors, build-out teams, and internal stakeholders to support service delivery and workplace operations. Coordinate issue resolution, contract renewals, and day-to-day facility needs with a strong focus on responsiveness, accuracy, and follow-through.
  • Manage the facilities and departmental expenses process including invoice routing, purchase requests, vendor payments and budget tracking to ensure workplace and operational expenses remain aligned with approved budgets and company guidelines.
  • Administer workplace and business systems by maintaining user accounts, vendor portals, subscriptions, and access lists.
  • Improve, implement, maintain, and document departmental procedures, approval workflows, operational standards, policies, and workplace practices while ensuring accurate data tracking and recordkeeping.
  • Support People & Facilities administrative processes by assisting with onboarding, offboarding, employee moves, workplace readiness initiatives, and employee-facing communications including weekly newsletter.
  • Support additional process, facilities, workplace, and operational initiatives as directed to meet evolving business needs.
  • Help ensure a positive and effective workplace experience for onsite, hybrid, and remote employees.

Qualifications

  • 4+ years of experience in administration, workplace operations, office management, people support, facilities coordination, or a related operational role.
  • Minimum 2 years of experience administering business, workplace, people, or operational technology platforms.
  • Experience processing expense reports, invoices, purchase requests, and budget-related administrative activity.
  • Strong organizational skills, attention to detail, sound judgment, and ability to manage competing priorities in a fast-moving environment.
  • Experience supporting onsite, hybrid, and remote workforces.
  • Experience supporting People & Operations, People & Facilities, Corporate Operations, or similar functions.
  • Experience with shared resource management, account administration, or operational systems.
  • Experience in media, entertainment, technology, digital supply chain or a growth-oriented company environment.
  • Proficiency with Microsoft 365, SharePoint, Monday.com, Box, expense management systems, workplace scheduling tools, collaboration platforms, vendor portals, and other administrative or operational business systems.
