Target Range:

$22.50/Hr. - $34.00/Hr.

Actual starting pay will vary based on factors including, but not limited to, geographic location, experience, skills, specialty, and education.

Eligible for an Annual Discretionary Cash Bonus Target: 5%

Eligible for an Annual Discretionary Restricted Stock Units Bonus Target: 5%

About This Job

The Axos Marketing team is looking for a Marketing Coordinator, Conferences & Events to keep our conference, tradeshow, and event program moving. This person handles the details that decide whether an event goes well: the contracts, the registrations, the event management, the promo orders, and the follow-up that actually goes out.
Our event portfolio includes industry conferences, tradeshows, sponsored events, sports partnerships, client entertainment, and seminars and roundtables with internal stakeholders. The Coordinator works with the event marketing team and marketing partners across Consumer Banking, Commercial Banking, and Securities, and helps make sure each event runs as a multi-touch campaign with real work before and after the day itself. Much of that work lives in our business systems, and we expect the Coordinator to use AI to work faster and smarter, from drafting and summarizing to streamlining repeatable tasks.
This role is a good fit for someone early in their career who is highly organized, thrives on logistics, and is fine being the person everyone asks “where are we on this?” The work is deadline sensitive, and we operate in a fast-paced, ever-changing environment. The payoff is a steep learning curve: the Coordinator gains hands-on experience alongside high performers, builds fluency across a sophisticated tech stack, and puts AI to practical use every day, skills that carry well beyond events.

Responsibilities:

  • Submit and manage conference approvals and keep requestors and approvers updated on status
  • Review and route contracts for sponsorships, exhibitor space, venues, and vendors, and track each one through signature
  • Submit and follow legal tickets for contract and material review
  • Work with Procurement on vendor onboarding, purchase requests, and approvals
  • Process invoices in Oracle, track payment status, and match spend against event budgets
  • Submit and reconcile expenses for event spend and team travel
  • Place and track promotional item orders, and manage tradeshow and promo inventory, including storage, shipping, and returns
  • Manage conference registration for internal attendees and sponsored guests, and keep attendee lists current
  • Book and manage client event travel in Navan
  • Request and coordinate creative assets such as signage, booth graphics, collateral, and digital files through Workfront, and review them for brand consistency, accuracy, and compliance before release
  • Build and maintain event pages in Bizzabo, including agenda, speakers, registration, and updates
  • Keep requests, spend, goals, leads, and reporting accurate and current across our core business systems every day
  • Maintain the corporate event calendar, keep event files, contracts, and assets organized and audit ready, and support special projects as assigned
  • Coordinate booth and onsite logistics, including layout, AV, freight, and exhibitor manual deadlines
  • Support onsite activation of conference, event, sponsorship, and sports partnership engagements, including but not limited to game activations, booth setup and staffing, sponsor deliverables, guest hospitality, and day-of issue resolution
  • Ensure every department event and program has a matching Salesforce campaign to track and measure ROI, and raise gaps in reporting early
  • Pull event results (leads, attendance, spend) from Salesforce and Tableau, and prepare reports for the event marketing team and business stakeholders
  • Support event marketing campaigns, including invitations, email, social, and post-event follow-up

Requirements:

  • Bachelor’s degree in Marketing, Communications, Business, or equivalent work experience
  • 1+ years of experience in event coordination, event marketing, or a related marketing role (internship experience considered)
  • Self-starter who follows up without being chased and raises problems early
  • Flexibility, a positive attitude, and an ownership mentality, with the ability to see things through
  • Excellent written and verbal communication skills, including with vendors, legal, procurement, business partners, and executives
  • Strong project management and organizational skills, with the ability to track multiple events and deadlines at once
  • Close attention to detail, with accurate, on-time handling of dates, budgets, contracts, invoices, expenses, and purchase requests
  • Strong working knowledge of Workfront, Oracle, Workboard, Tableau, and Salesforce, or a clear track record of learning new business systems quickly
  • Proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint)
  • Commitment to leveraging AI to work more efficiently, such as drafting, summarizing, and streamlining routine tasks; knowledge of Claude Projects and Artifacts is a plus
  • Experience with event or travel platforms such as Bizzabo, Cvent, or Navan is a plus
  • Willingness to travel up to 25% and work some evenings and weekends around events and games, with more during peak season
