A day in the life

The National BI Partnerships Project Manager serves as a critical operational and strategic partner to the national Business Insurance partnerships team. This role owns the coordination, execution, and continuous improvement of key national initiatives — including the Medallion Program, carrier engagement, TPW relationships, and cross-functional projects — ensuring programs run on time, on scope, and in alignment with the team's strategic priorities.

This individual is a highly organized, self-directed professional who thrives in a complex, fast-moving environment and can balance multiple concurrent workstreams without sacrificing quality or attention to detail.

ESSENTIAL FUNCTIONS

Business Insurance Partnerships & Engagement

  • Coordinate speakers, presentation materials, and agenda for Strategic Marketing calls, leadership summits, and partner-facing meetings.

  • Distribute meeting recaps, action items, and replay links to all relevant participants in a timely manner following each engagement.

  • Maintain and continuously update distribution and contact lists across carriers, wholesalers, and internal stakeholders.

  • Post and refresh content on the Colleague Portal to ensure carriers and field colleagues have access to current, relevant materials.

  • Develop and maintain a recurring content calendar to ensure consistent carrier and colleague-facing communications.

  • Serve as the point of contact for internal colleagues seeking guidance on partnership programs, escalating complex matters appropriately.

Project Management & Program Operations

  • Support and help administer the Business Insurance Medallion Program, tracking enrollment, compliance, and performance metrics.

  • Manage organizational infrastructure for the MMA National Partnerships team, including contracts, workflows, and production reporting.

  • Facilitate internal and external meetings, including logistics, scheduling, preparation of agendas, and participant communications.

  • Track project milestones across all active initiatives, proactively flagging risks and delays to leadership.

  • Build and maintain a centralized project tracker (e.g., in Smartsheet, Asana, or Excel) to provide real-time visibility into workstream status.

  • Lead post-project retrospectives to identify process improvement opportunities and document lessons learned.

Carrier & Wholesale Partner Support

  • Support the coordination of RFP processes, including document collection, comparative tracking, and deadline management.

  • Assist in preparation of carrier and partner-facing presentations, scorecards, and performance reviews.

  • Maintain a master repository of carrier and partner agreements, program documents, and key deliverables.

Data, Reporting & Analytics

  • Compile and distribute regular production and performance reports for leadership review, drawing from internal systems including agency management platforms and CRM.

  • Support development of program dashboards to track KPIs such as Medallion program, carrier engagement scores, and RFP pipeline activity.

  • Identify trends or anomalies in reporting data and surface actionable insights to the leadership team.

Our Future Colleague

We’d love to meet you if your professional track record includes these skills:

  • 3–5 years of relevant experience in insurance agency operations, P&C marketplace, financial services, or a comparable professional services environment.

  • Insurance background preferred but not required — candidates with strong project management or operational finance backgrounds are encouraged to apply.

  • Prior experience supporting senior leadership or a national/regional business unit strongly preferred.

  • Familiarity with insurance wholesaler, carrier, or program business models is a meaningful differentiator.

Skills & Competencies

  • Exceptional organizational skills with the ability to manage multiple high priority workstreams simultaneously without loss of quality.

  • Strong written and verbal communication skills; ability to synthesize complex information and communicate clearly to diverse audiences.

  • High degree of autonomy and resourcefulness — able to drive answers independently across a wide range of systems and content areas.

  • Proven ability to build and maintain professional relationships across internal teams and external partners.

  • Proficient in Microsoft Office Suite with advanced skills in PowerPoint and Excel; comfortable learning new platforms quickly.

  • Experience with CRM platforms (Salesforce preferred) and project management tools (Smartsheet, or similar).

  • Bachelor’s degree in business, Finance, Communications, or a related field required.

These additional qualifications are a plus, but not required to apply

  • Project Management Professional (PMP) certification or equivalent is a plus but not required.
