As we scale our team and physical footprint, we are looking for an Office Coordinator to take ownership of our day-to-day environment and keep the company running smoothly behind the scenes.
Role Overview
This is a highly hands-on, all-around operations role focused primarily on facilities management, with additional responsibilities spanning office management, logistics, and general operational support.
You will be the point person for keeping our physical space functional, safe, and well-organized—working closely with engineering and leadership on facility build-outs, vendor coordination, and equipment logistics. You will also be a go-to resource for general office questions as our team grows.
This role is ideal for someone who enjoys variety, takes pride in well-run spaces, and is comfortable jumping between planning, coordination, and physical tasks.
Key Responsibilities Facilities & Infrastructure
Own day-to-day facilities operations across office, lab, and warehouse spaces.
Coordinate and negotiate with vendors for HVAC, internet service, low-voltage cabling, electrical work, and general construction.
Work closely with engineering teams during facility build-outs, lab expansions, and equipment installations.
Manage preventative maintenance schedules and respond to facilities issues as they arise.
Logistics & Equipment Handling
Coordinate freight shipments, deliveries, and pickups, including scheduling, tracking, and documentation.
Assist with uncrating, moving, and setting up equipment, including large or delicate hardware.
Maintain organized storage areas for tools, materials, and incoming/outgoing equipment.
Interface with shipping carriers, freight forwarders, and suppliers.
Office Operations
Keep the office fully stocked with supplies, consumables, and essentials.
Manage vendor relationships with cleaning crews, gardeners, waste services, and material suppliers.
Serve as a friendly, reliable point of contact for general office questions and day-to-day needs.
Help maintain a clean, safe, and welcoming work environment for the team.
General Operations Support
Identify inefficiencies and proactively improve operational workflows.
Support special projects and ad hoc needs as the company grows.
Help establish repeatable processes as we scale facilities and headcount.
