About You

You see what needs doing before anyone asks, then own it end to end. You take real pride in order and follow-through. Loose ends bother you, so you close them. If you like being the operating system behind a busy team, you'll like it here.

What You Will Own

  • Your executive's time - you'll take over their inbox and calendar so they only see what needs their judgment. Everything else gets handled, routed, or filed before it reaches them. Nothing waiting on their approval sits for more than a business day.

  • The office - kitchen supplies, deliveries, food and meals, vendor coordination, and building management all run without anyone having to think about it. The space stays tidy and stocked as a matter of course, not as a fire drill.

  • Operations and logistics - you'll build and run the systems that keep physical campaign materials (stickers, decals, and similar) moving. Organizing them by campaign, mapping the pickup and delivery cycle including manufacturer lead times, and keeping everything on a predictable schedule. The goal: no campaign or install is ever delayed by a supply or logistics gap.

  • Travel - you'll own executive and sales travel end to end, so account executives stop booking their own. Requests go from ask to confirmed itinerary within a business day, and trips don't get disrupted by booking errors.

  • Make it repeatable - you'll document the recurring work clearly enough that someone else could pick it up cold. You’ll keep documentation current so the office never depends on you being in the room.

What Success Looks Like

We believe in being specific about what "good" means, so you know exactly what you're walking into:

  • By 30 days: you're fluent in our tools (including Jira), actively managing the inbox and calendar, and the office essentials (supplies, deliveries, food, vendors, building management) run without escalation.

  • By 60–90 days: the executive reads only what needs their decision; logistics for pickups and deliveries run on a schedule without prompting; and you own all executive and sales travel.

  • By 6 months: the recurring work is documented well enough that another person could cover the inbox, calendar, and office logistics for a full week using your notes alone.

  • Across the year: zero campaigns delayed by logistics, zero trips derailed by a booking error, and documentation that stays current quarter over quarter.

What You’ll Need to Have

  • Experience as an executive assistant, office manager, or operations coordinator - ideally some blend of all three.

  • Proactive to a fault. You spot the gap and close it before it's raised.

  • A track record of booking and managing complex travel.

  • Deeply organized, with the follow-through to match. Loose ends genuinely bother you.

  • Comfortable owning logistics and vendor relationships, and coordinating moving parts across people and timelines.

  • A clear, concise writer, a big part of this role is communicating on the executive's behalf.

  • Quick to learn new tools and systems (we use Jira; you don't need to know it on day one, but you should be able to get proficient fast).

  • Discreet and trustworthy with sensitive information and a busy leader's time.

  • Happy working in-office and being the hub the team relies on.

  • Ideally, experience in a startup or other fast-moving environment, familiarity with Jira or similar project-tracking tools, a background in physical logistics, inventory, or supply coordination.

Base Salary: $35 - $41 an hour, plus benefits

Work Location: Los Angeles - in person
