Company Overview

Allen Control Systems (ACS) is a cutting-edge defense startup founded by two former Navy electrical engineers with a proven track record in robotics and software. We are developing an autonomous gun turret using advanced computer vision and control systems to precisely detect, track, and neutralize enemy drones.

With an engineering-first culture, ACS values technical excellence and innovation. Backed by our founders’ successful exits from two previous ventures acquired for a combined $180M in 2022, and recently strengthened by a Series B to scale manufacturing and accelerate deployment of Bullfrog, we are committed to ensuring that the groundbreaking technologies we develop will have a real-world impact.

About The Role

We are looking for an Office Manager to create a smooth, efficient, and energizing workplace for the ACS team. You will be a key operational partner for the office and administrative functions, ensuring day-to-day work runs seamlessly while supporting a collaborative environment where our team can do their best work. This is a highly visible, build-from-scratch role with direct impact on team culture, productivity, communication, and the overall employee experience at ACS. You will bring structure, anticipate needs, solve problems quickly, and support a fast-growing business with the professionalism and flexibility required in a manufacturing environment. This role is based in Mountain View, CA.

What You’ll Do

  • Implement systems and workflows that reduce friction and streamline office operations; keep the office stocked, organized, and running smoothly day to day, from supplies to snacks to vendor relationships.

  • Serve as a key partner to Finance, HR, Security, Facilities, and Manufacturing teams, helping coordinate office-related needs, troubleshoot issues, and keep cross-functional workflows moving.

  • Aid in the onboarding of new in-person employees, setting them up with desks, equipment, and a welcoming environment; work with Recruiting and HR to organize travel and relocation logistics for new and current employees.

  • Coordinate daily catering and occasional dinners; work with Recruiting and Marketing to plan and execute monthly internal team events and external events to increase industry visibility and team cohesion.

  • Coordinate and manage office buildouts or expansions, working with contractors, vendors, and internal teams; step in as the first-line problem solver for logistical issues, vendor miscommunications, and process gaps.

  • Support office administration processes with strong attention to detail, ensuring information is accurate, timely, and well documented; anticipate needs before they arise and bring a proactive, solutions-oriented mindset to a rapidly growing environment.

What You’ll Need

  • 7+ years of experience in office management, workplace operations, executive support, or a similar role in a fast-paced environment; prior experience supporting a manufacturing company or defense contractor strongly preferred.

  • Comfortable working in a manufacturing environment; experience supporting shift-based operations and coordinating across multiple schedules; able to maintain continuity and follow-through in an environment with shift work.

  • Highly detail-oriented with exceptional follow-through; excellent communication skills and a warm, professional demeanor; proactive, responsive, and comfortable anticipating needs before being asked.

  • Tech-savvy and quick to learn new systems; proficiency with Microsoft 365 and Slack strongly preferred; familiarity with secure workplace practices including visitor logs, badge compliance, and working in regulated environments such as CMMC and/or ITAR; experience supporting shipments, inventory, or materials logistics is a plus.

What We Offer

  • Competitive salary

  • ACS Equity Package

  • Health, Dental, Vision Insurance

  • Paid Time Off
