As our Office Manager, you create a welcoming, efficient and well-organised environment for our team and visitors. You handle daily front desk duties and coordinate facility tasks while collaborating with our Dutch headquarter. You report directly to the Head of Facilities, wearing multiple hats to keep everything running without a hitch. Your work gives our US branch a great foundation, making sure our company culture translates seamlessly across borders.

What you'll do
  • Front desk and reception: Act as the first point of contact for the office. Welcome visitors, clients and vendors with a warm and professional attitude.

  • Mail and deliveries: Handle all incoming and outgoing mail efficiently. Receive and log packages or pallets for both office and warehouse operations.

  • Facility and maintenance coordination: Schedule and oversee general maintenance, repairs and facility inspections. Coordinate closely with external service providers like our cleaning crew.

  • Pantry and office supplies: Take full ownership of the pantry and office inventory. Ensure coffee, drinks, snacks and daily office supplies stay fully stocked and organised.

  • Global collaboration: Maintain regular contact with the Head of Facility at our Netherlands headquarters. Align on processes and share updates to keep our culture connected.

  • Spare parts management support: Collaborate with the Service and Support department on local stock management. Keep administrative track of consumed parts and manage stock levels accurately.

What you bring
  • Prior background as an Office Manager, Facility Coordinator, or in a similar administrative role.

  • High sense of ownership and a true can-do mentality to anticipate workspace needs.

  • Exceptional multitasking skills and sharp attention to detail to prioritize tasks independently.

  • Strong interpersonal skills with a proven ability to communicate effectively across diverse cultures.

  • A welcoming personality with a service-oriented approach to supporting our growing team.

  • Working knowledge of MS Office tools.

  • Ability to work 24 hours per week in our office, Virginia USA.
