YOUR MISSION 

The Office Manager serves as the operational backbone of their True Anomaly site - keeping the office running smoothly, managing vendor relationships, and ensuring employees have everything they need to do their best work. This is a senior individual contributor role requiring strong judgment, vendor management experience, and the ability to operate independently while staying tightly coordinated with Facilities leadership. 

 

Responsibilities 

Office Operations 

  • Own day-to-day office operations at your site — the space is clean, stocked, organized, and functional at all times 
  • Manage office ordering and inventory including, supplies, snacks, beverages, equipment, and general office goods 
  • Oversee desk assignments, seating logistics, and workspace organization, in partnership with people team 
  • Support hybrid and remote workplace logistics as needed 
  • Anticipate operational needs and solve problems before they surface to employees or leadership 

Vendor Management 

  • Own and manage vendor relationships for your site: cleaning services, food and beverage, maintenance, equipment, and other office service providers 
  • Negotiate and manage vendor contracts and service agreements in partnership with Facilities leadership 
  • Hold vendors accountable to service standards and escalate when needed 
  • Identify opportunities to improve vendor performance or reduce costs 

 

 

Facilities Coordination 

  • Serve as the on-site operational liaison for facilities — safety, cleanliness, repairs, and space efficiency 
  • Coordinate office moves, reconfigurations, and space updates including furniture and interior changes 
  • Partner with the Facilities team on space planning and site-level projects 
  • Manage and track facilities-related issues and escalations through to resolution 

Onboarding & Visitor Logistics 

  • Manage desk inventory, ordering, and assignment including new hire desk setup and readiness 
  • Serve as the on-site contact for visiting employees and guests 
  • Partner with the People team on space and desk logistics to support day-one readiness 

Cross-Functional Partnership 

  • Partner with IT, Facilities, and People teams to keep site operations aligned with broader organizational needs 
  • Partner with People team to help execute employee events, on/offsites, wellness initiatives, etc. 
  • Communicate office updates, operational changes, and logistics clearly to employees and leadership 
  • Serve as a backup to the executive operations team when needed 

Requirements 

  • 5+ years of experience in office management, facilities coordination, or a related operations role 
  • Proven vendor management experience including contract oversight and vendor accountability 
  • Strong organizational skills with high attention to detail and follow-through 
  • Comfortable operating independently and making sound judgment calls without constant escalation 
  • Clear, professional communicator with employees and senior leadership alike 
  • Ability to travel occasionally between True Anomaly sites (up to 10%) 
  • You have a passion for workflows, efficiency, and consistency, paired with a meticulous attention to detail and the ability to manage multiple complex projects simultaneously 
  • You have a proactive problem-solving mindset, anticipating challenges and addressing potential risks before they escalate 
  • You have proven experience in building cross-functional partnerships and influencing stakeholders at all levels of the organization to drive alignment and results 
  • You have excellent communication skills; spoken and written 
  • You are comfortable with ambiguity and change in a fast-paced environment 
  • You have demonstrated ability to influence and build relationships at all levels of the organization.  

COMPENSATION: 

  • Base Salary: CA $85,000 - $105,000  
  • Equity + Benefits including Health, Dental, Vision, HRA/HSA options, PTO and paid holidays, 401K, Parental Leave 

Your actual level and base salary will be determined on a case-by-case basis and may vary based on the following considerations: job-related knowledge and skills, education and experience. 

 

ADDITIONAL REQUIREMENTS 

  • Work Location: Onsite 5-days; this role will be based out of our Long Beach office. 
  • Travel: Occasional travel to Colorado. 
  • Work environment is in a standard office, working at a desk or in a production factory. 
  • Physical demands may include frequent standing, sitting, walking, bending, and lifting or carrying items up to 20lbs.
