Role Overview:

We’re looking for a driven, organized, and proactive Office Manager to lead operations in our San Francisco office. As the primary onsite point of contact, you’ll play a critical role in shaping the employee experience while ensuring the office runs smoothly and efficiently.

We aren’t simply looking for someone to stock the snacks—we need someone who deeply understands people and what they need to succeed, and isn’t afraid to wear many hats. This means proactively taking on big projects (e.g. designing new parts of the office and creating procedures for a scaling business) as well as small (e.g. the never-ending fight to stay organized). As the face of the office, you will be responsible for ensuring teams have the supplies, spaces, and experiences they need to deliver on our mission. Additionally, you’ll be deeply embedded in recruiting operations and onsite coordination for external guests, and will provide light administrative support.

This role could make sense for you if:

  • You thrive in a fast-paced, startup environment and enjoy wearing many hats
  • You love thinking about the little things that others don’t realize make a big difference (hiding a cable here, adding a sign there...)
  • You have strong communication and organizational skills, and are comfortable working both independently and with others
  • You enjoy interacting with people and creating a welcoming, professional environment
  • You’re proactive and take ownership without needing direction
  • You have strong judgment when handling sensitive or confidential information
  • You’re familiar with the San Francisco area and local vendors/resources

Responsibilities:

  • Own day-to-day operations of the San Francisco office
  • Maintain a clean and well-functioning workspace
  • Manage office supplies, equipment, and vendor relationships
  • Build and improve systems for office operations, onboarding, and vendor management
  • Partner with IT on onsite setup, equipment, and installations
  • Maintain office security protocols and ensure safe handling of company assets
  • Serve as the main point of contact at the front desk
  • Greet and check in all visitors, candidates, and external partners
  • Plan and host events both internally and for external visitors/investors
  • Ensure a seamless and professional onsite experience for candidates
  • Monitor the facilities and coordinate repairs/requests with building management
  • Be prepared to coordinate future office moves
  • Provide light calendar management and scheduling support to our SF lead
  • Partner with Recruiting on logistics for onsite candidates
  • Help foster a positive, engaging, and high-energy office culture

Minimum Requirements:

  • Proven experience as an office manager or coordinator, including in a startup environment (aerospace or defense a plus)
  • Strong experience serving in a multi-pronged role requiring ability to seamlessly switch gears at a moments’ notice
  • Experience managing facility logistics; preferably with new office/location move-ins and rollouts
  • Exceptional organizational and multitasking skills with a keen attention to detail
  • Strong communication and interpersonal skills, with the ability to interact with individuals at all levels
  • Proficient in office software and productivity tools (Microsoft Office suite)
  • Demonstrated ability to take initiative, work independently, and handle sensitive information
  • [BONUS] Familiarity with San Francisco vendors, services, transportation, etc.

Why CHAOS?

  • Health Benefits: Medical, dental, and vision benefits 100% paid for by the company
  • Additional benefits: 401k (+ 50% company match up to 6% of pay), FSA, HSA, life insurance, and more

  • Funding Landscape: $50.5 billion in venture capital funding in 2024 (Pitchbook)
