The Position

The Onboarding Coordinator position plays a key part in the growth of our fastest-growing product, Machinio System—an all-in-one software solution that powers websites and CRMs for dealers in the machinery, marine, and service industries. If you are highly detail-oriented, organized, and proactive, able to manage multiple client onboarding projects from start to finish, excel at website design and CRM setup, learn systems and functionalities quickly, and are an excellent communicator, this role is a fantastic opportunity for you. You will be the main point of contact for newly acquired clients assigned to you, guiding them through website design, data migration, CRM integration, training, and launch, while collaborating with internal teams to refine processes and ensure a seamless onboarding experience. This role offers a great opportunity to join an early-stage team handling a fast-growth product.

Our Company

Machinio operates Machinio.com and Machinio System, and this role will work with the latter. We’re a fast-moving, former startup transforming a traditional $400 billion industry through technology, with teams across North America, Europe, and Asia. Our SaaS product, Machinio System, is experiencing rapid growth, and we’re looking for a proactive, organized, and analytical thinker to join our team and help deliver an outstanding onboarding experience to our newly acquired clients.

Responsibilities:

  • Manage end-to-end onboarding for newly acquired clients, acting as their main point of contact throughout the process.
  • Use internal tools to design client’ websites, implementing draft revisions based on feedback.
  • Collaborate with the tech team to ensure successful migration of client inventory.
  • Organize and prepare client data for smooth contact imports.
  • Enable CRM integrations and ensure proper functionality for each client.
  • Assign UX reviews and ensure they are completed in a timely and effective manner.
  • Conduct live training sessions to help clients become familiar and confident with the platform.
  • Coordinate domain pointing and launch logistics for each client’s new website and CRM system.
  • Participate in weekly collaboration sessions with the Team Lead to provide progress updates on each project and brainstorm solutions.
  • Maintain a balance between ensuring client satisfaction and achieving internal deadlines and goals.
  • Stay accountable to individual and team objectives, key results, and performance metrics.

Work Life

  • Flexibility to work remote with a very engaged, cross-functional team, preferably from EST or CST time zones.
  • Remote setup provided for all team members, along with modern work equipment.
  • Casual, collaborative, fast-paced work environment and a fun team (we’re cool).
  • In-person team events and really fun in-person holiday parties!

Compensation

  • Base salary
  • Project-based commission structure
  • Robust benefits package

Our Interview Process:

Step 1 - Phone Interview with the Senior Director of Operations, one of Machinio’s execs, to get to know you!

Step 2 - Google Meets video interview with the Team Lead to go into detail about the role and participate in an evaluation.

Step 3 - Final interview.

We are efficient decision-makers. Our interview process has a 2-week timeline and we do not waste time. We are not recruiters, we are real employees, with long tenures and institutional knowledge, and we work with and manage the job/team you are interviewing for. We take time to interview and build teams because our people are our most important resource.

  • Major Tech Employers: Google, Apple, Salesforce, Meta
  • Key Industries: Artificial intelligence, cloud computing, fintech, consumer technology, software
  • Funding Landscape: $50.5 billion in venture capital funding in 2024 (Pitchbook)
