Location: Hybrid: Pleasant Hill, CA. Work will be primarily performed onsite at our office or remotely by telecommuting from your home office 2 - 4 days per week. Employee may be required to utilize personal phone or internet services to perform telecommuting with reimbursement. Occasional travel to and work from other Race offices or other off-site locations may be required.

Position Impact:

The OSP Executive Assistant provides administrative and operational support with a primary focus on coordinating travel and logistics for construction and outside plant teams. This role is responsible for managing complex travel arrangements, ensuring alignment with project schedules, and adapting to rapidly changing field needs. The position supports day-to-day administrative functions while playing a critical role in maintaining efficient operations for traveling crews, including after-hours coordination to ensure continuity and timely execution of construction activities.


Requirements

Qualifications and Experience:

• Eligibility for US Employment without sponsorship

• Minimum of 18 years of age

• 3–5+ years of experience supporting senior leaders, preferably in telecommunications, construction, or infrastructure environments

• Proven experience supporting executive-level leadership with complex scheduling, travel coordination, and prioritization

• Familiarity of telecom, fiber, or construction operations preferred, including familiarity with OSP workflows

• Experience coordinating across cross-functional teams, contractors, and field operations

• Ability to manage multiple priorities in a fast-paced, deadline-driven environment

• Strong organizational skills with high attention to detail and accuracy

• Experience handling confidential and sensitive information with discretion

• Experience supporting meetings, preparing reports, and tracking project or operational updates

• Strong communication skills with the ability to interface with executives, vendors, and field teams

• Ability to work flexible hours as needed to support traveling construction teams and operational demands

• The ability to effectively communicate in English, including speaking, reading, writing, and comprehension, as necessary for effective job performance and workplace communication

Skills:

• Proficient use of MS Office applications including Teams, Word, Excel, and PowerPoint; teleconferencing applications

• Functional use of common office equipment, computers, and office software

Essential Duties and Responsibilities:

Executive & Administrative Support

• Provide high-level administrative support including calendar management, expense tracking, and executive-level coordination

• Manage the preparation of monthly, weekly and quarterly reports, meeting materials, and internal communications

• Maintain highly organized records, files, and documentation to support efficient executive operational workflows

• Act as a strategic partner to the VP of OSP by assisting in planning, coordination, and execution of high-impact initiatives

Travel & Logistics Coordination

• Coordinate and manage all travel arrangements for OSP and construction teams including hotels, and transportation

• Adjust travel plans in real time to accommodate changing construction schedules and operational needs

• Track travel schedules, itineraries, and related logistics to ensure alignment with project timelines

• Ensure cost-effective travel planning while meeting business and operational requirements

Operations & Team Coordination

• Support coordination between construction, OSP, and internal teams to align schedules and priorities for material deliveries

• Maintain trackers and schedules to support visibility into team movements and project needs

• Assist with planning and coordination of team activities and logistics

Vendor & Coordination Support

• Interface with travel vendors, hotels, and service providers to coordinate bookings and resolve issues

• Support vendor communication and ensure timely confirmations and documentation

Field & After-Hours Support

• Serve as the primary point of contact for payment-related needs and after-hours support for materials and hotel accommodations to ensure uninterrupted field operations

• Provide support outside standard business hours to accommodate traveling construction teams

• Respond to urgent travel changes, cancellations, and scheduling conflicts

• Ensure continuity of operations by quickly resolving logistical issues impacting field teams
