PURPOSE OF THE JOB

The purpose of this job is to timely and accurately administer the end-to-end payroll process for four ICW Group companies in multiple geographic areas in a manner that supports Team Member satisfaction and complies with all wage and hour and other legal requirements. This position exists to support all areas of payroll data management, education reimbursement, and other HR service center programs and processes while always maintaining a high level or discretion and confidentiality of information.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administers the Payroll system for all ICW Group Companies.

  • Initiates process and sets up ICW companies as employers in new states, completing required paperwork and securing tax id.
  • Establishes and posts annual payroll period and holiday calendars.
  • Processes payroll-related documents and responds to state disability, unemployment, and employment verification requests.
  • Administers annual end of year and W-2 processes ensuring accurate, complete data is provided within the established legal deadlines. 
  • Prepares and processes off-cycle payrolls and manual checks as needed for new hires, terminations, bonuses, or other payments.
  • Responds to payroll-related inquiries and resolves concerns.
  • Maintains current working knowledge of payroll software and tax laws for all states with employees.
  • Identifies and recommends updates to payroll processing and procedures. 

Processes accurate bi-weekly payrolls for four companies using the Workday timekeeping and payroll systems.

  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including team member timesheets, salaries, benefits, garnishments, taxes, and other deductions.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Processes and tracks other payroll-related items including auto usage, moving allowances, bonuses, stock options, special payments, deductions, and recurring imputed income transactions that arise for each payroll period.
  • Ensures all team members are paid within legal time requirements and with proper calculations.
  • Originates and distributes applicable bi-weekly payroll reports to Finance.
  • Reconciles payroll account for tax liability and wage summaries biweekly, monthly, quarterly, and annually.

Supports HR Service Center operations.  

  • Backs up HR Advisor in managing Team Member inquiries through the Workday Case Management system.
  • Creates articles for inclusion into the HR Service Delivery Databases in areas of expertise.
  • Provides record-keeping support for leave management. 

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED) required. Associate’s degree in HR, Payroll or Accounting preferred. Minimum of 5 years payroll experience with at least two years working in a multi-state employer environment required; or equivalent combination of education and experience will be considered.  

KNOWLEDGE AND SKILLS 

Demonstrated knowledge of Payroll processing and timekeeping best practices, basic Accounting principles, California and federal wage and hour law. Competent in the use of Microsoft Word, Microsoft Excel, and Microsoft Outlook. Demonstrated proficiency in using HRIS, Payroll and Timekeeping systems, preferably experience with Workday software. ADP/Smart Compliance. Detail oriented; reliable; strong ability to initiate and execute on tasks; proficient in working with numbers and performing arithmetic calculations. 

CERTIFICATES, LICENSES, REGISTRATIONS

APA Certification/membership preferred. 

PHYSICAL DEMANDS

Office environment – no specific or unusual physical or environmental demands and employees are regularly required to sit, walk, stand, talk, and hear.  The position frequently requires employees to reach with hands and arms.  This position requires more than 80% computer use.

WORK ENVIRONMENT

This position operates in an office environment and requires the frequent use of a computer, telephone, copier, and other standard office equipment. The noise level in the work environment is usually moderate. Quarterly travel required to corporate office in San Diego.

The current range for this position is

$68,481.25 - $115,489.01

This range is exclusive of fringe benefits and potential bonuses.  If hired at ICW Group, your final base salary compensation will be determined by factors unique to each candidate, including experience, education and the location of the role and considers employees performing substantially similar work.
