Description of Position

The Project Coordinator is a high-visibility role supporting People Operations and the Office of the COO. This individual serves as an operational force multiplier, managing the workflow, data, and communications that drive leadership decision-making. The ideal candidate is a proactive problem-solver who can pivot between complex financial analysis and high-level executive storytelling.

Principal Responsibilities

  • Draft sophisticated briefing notes, scripts, and presentations that accurately reflect the voice and priorities of the COO for leadership sessions, offsites, and external engagements.
  • Transform scattered budget inputs and metrics into streamlined Excel models and dashboards that inform strategic shifts and provide decision-ready insights for leadership.
  • Own the last mile of project execution by ensuring that decisions made in the boardroom are effectively communicated, tracked, and completed by functional owners.
  • Direct the end-to-end logistics for leadership offsites and events, prioritizing a high-touch executive experience and seamless execution.
  • Build and maintain comprehensive project plans and risk registers to proactively identify and mitigate potential slippage before it impacts the firm.
  • Establish strategic agendas and facilitate working sessions, ensuring that concise recaps are circulated to drive accountability through clear ownership and due dates.
  • Navigate a fast-paced environment with the ability to manage compressed deadlines and shifting priorities while focusing on outcome-ownership rather than task-completion.
  • Utilize AI products and modern project management tools to optimize processes and increase the overall efficiency of the COO’s office.
  • Execute special projects and administrative duties as assigned, including travel as required for leadership meetings and business priorities.

Requirements

  • 2 – 4 years of experience in consulting, business operations, or a high-level executive support role.
  • A bachelor’s degree is required, along with a strong interest in firm-wide operations and financial metrics.
  • Expert-level proficiency in PowerPoint and Excel is necessary to produce client-ready work under tight deadlines.
  • The role requires a high degree of discretion and professional judgment when handling confidential and sensitive information.
  • A working knowledge of AI tools for research, drafting, and summarization is expected, along with the discernment to apply them effectively.
  • Success in this role requires a candidate who thinks independently, resets quickly, and takes full ownership of outcomes.
