Job Summary: 

The Procurement Project Manager (Fitness-Focused) is responsible for coordinating and executing end-to-end procurement activities for fitness and wellness amenity projects. This role emphasizes detail tracking, documentation accuracy, communication excellence, and project milestone management, not pricing negotiation.

The position manages multiple concurrent fitness projects, ensuring all equipment orders, delivery timelines, paperwork, and close‑out requirements are completed accurately and on schedule. This individual escalates risks appropriately and collaborates closely with internal teams and vendors to support seamless project execution.

Key Responsibilities:

Project-Based Procurement Management

  • Coordinate procurement activities for new fitness center builds, equipment refreshes, remodels, and amenity upgrades.
  • Maintain detailed procurement trackers aligned with construction and installation timelines.
  • Manage project documents, purchase orders, freight details, warranties, and close‑out packages with meticulous accuracy.
  • Track long‑lead fitness equipment items and communicate delays or risks early.
  • Coordinate delivery logistics, warehousing, staging, installation timelines, and punch list resolution.
  • Ensure all milestones--order placement, shipping, receipt, installation, and close‑out--are completed on time.

Fitness Equipment & Amenity Sourcing

  • Support the selection and specification process for:
    • Commercial fitness equipment
    • Flooring systems, turf, racks, and storage
    • Group fitness and recovery equipment
    • Locker room and wellness-adjacent FF&E
  • Collaborate closely with Fitness Operations and Design to confirm products meet operational, quality, and durability standards.
  • Maintain accurate records of vendor proposals, product specifications, lead times, and documentation.
  • Assist with comparative evaluations

Vendor & Contract Administration

  • Facilitate vendor communications, order confirmations, delivery updates, and troubleshooting.
  • Manage RFP coordination and bid documentation without taking part in pricing negotiation.
  • Track vendor performance, delivery accuracy, and installation quality.
  • Ensure all vendor documentation--COIs, spec sheets, warranties--is collected and filed properly

Budget & Financial Oversight

  • Track procurement budgets, committed costs, and change requests.
  • Reconcile invoices against purchase orders and delivery confirmations.
  • Flag discrepancies, delays, or cost concerns to leadership for review.
  • Support Finance with CapEx and procurement-related reporting.

Cross-Functional Coordination

  • Serve as the communication hub between Fitness Operations, Design, Construction, Business Development, and Logistics.
  • Provide clear, consistent updates on project status, risks, and milestones.
  • Escalate project concerns to leadership when timelines, deliverables, or operational risks emerge.
  • Ensure fitness spaces are operationally ready, installed correctly, and fully documented at project completion.

Qualifications

  • Bachelor's degree in Business, Hospitality, Construction Management, or related field
  • 2-4+ years of procurement or project management experience in hospitality, fitness, or amenity-driven environments
  • Strong knowledge of FF&E and OS&E procurement processes
  • Experience working with fitness equipment vendors and specialty hospitality suppliers preferred
  • Proven ability to manage multiple concurrent projects with competing deadlines
  • Strong negotiation and vendor management skills
  • Proficiency in procurement systems, Excel, and project tracking tools
