The Project Coordinator will provide essential support for facilities-related initiatives including MAC (Moves, Adds, Changes) work orders, furniture installations, small project execution, and vendor coordination. This role ensures operational continuity and supports project delivery through effective documentation, procurement, communication, and provides administrative support to our Project Managers when needed.

Pay Range $65/hr-$70/hr

Position Project Coordinator

Responsibilities

Project & Facilities Coordination

  • Manage and track MAC work orders, ensuring timely execution.
  • Coordinate furniture installations and small project work across multiple sites.
  • Support site PMs with scheduling, logistics, and documentation, such as meeting minutes and schedules

Procurement & Vendor Management

  • Issue and track purchase orders (POs) for project-related goods and services.
  • Liaise with vendors to ensure timely delivery, quality compliance, and scope alignment.
  • Maintain vendor records and assist in onboarding new suppliers as needed.

Administrative & Operational Support

  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Maintain project documentation with up-to-date status – schedules, budget trackers, meeting minutes
  • Assist with budget tracking and invoice reconciliation

Process Improvement & Compliance

  • Support continuous improvement by documenting workflows and identifying inefficiencies
  • Ensure adherence to internal design standards

Requirements
  • 2+ years of experience in commercial project coordination, facilities management, or procurement
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office Suite and project tracking tools (e.g., MS Project, Bluebeam, SAP, Ariba
  • Experience with vendor management and PO processing
  • Ability to work independently and collaboratively in a fast-paced environment
