STRATEGY / Responsible for organizing, tracking, and evolving the operational backbone of Octagon’s Strategy team through process and AI innovation

***Our headquarters are in Stamford, CT, but the location of this position can be flexible with a priority given to candidates open to hybrid work (2-3 days week in office) in one of our office locations - - Stamford, CT, New York, NY, Chicago, IL, Charlotte, NC, Los Angeles, CA or Atlanta, GA. We will also consider a remote-based working arrangement for qualified candidates.”

As a project manager for our Strategy department, you’ll play a key role in keeping the Strategy team running smoothly every day. You’ll support project organization, team resourcing, and internal workflows while helping implement new tools and processes that improve how we work.

You'll be responsible for supporting day-to-day internal team operations, ensuring the appropriate staffing, organization and procedures are in place for the Strategy team to run efficiently.  You will be accountable for financial management, resourcing, status trackers and workflow management, and information and record management.

You’ll be highly organized, detail-oriented, and proactive — someone who enjoys creating order, supporting multiple projects, and learning how AI can make work more efficient.

THE WORK YOU’LL DO

Team Operations & Workflow

  • Support weekly Strategy status meetings by preparing agendas, tracking updates, and capturing next steps
  • Maintain project trackers, timelines, and documentation to ensure all deliverables stay on schedule
  • Help organize and maintain digital filing systems and shared team folders to improve accessibility and consistency
  • Join key meetings as needed, take notes, and share recaps with relevant stakeholders
  • Assist in developing and documenting team procedures and processes
  • Support case study development and project debrief meetings when projects wrap

New Business & Strategic Support

  • Gain and maintain general knowledge of how Strategy work is conducted in order to effectively support with the transition of briefs into actionable scopes of work. 
  • Manage intake for new strategy requests and assist in setting up briefing meetings
  • Help translate new briefs into actionable next steps or work plans
  • Support the creation of project estimates and scope documents under the guidance of team leads
  • Request and track project time codes to ensure accurate reporting

Resourcing & Financial Support

  • Maintain visibility into team workloads and help update internal resourcing tools
  • Track billable and non-billable hours to ensure accurate reporting
  • Assist with onboarding and offboarding processes for new or transitioning team members
  • Support management of team budgets, vendor setups, and invoice processing

AI Enablement

  • Act as the company’s AI conduit, partnering with engineers and project teams to develop new workflows, naming conventions, and documentation standards that unlock AI-driven efficiencies.
  • Help document and test new AI workflows, naming conventions, and file structures
  • Promote AI adoption by helping teammates learn new tools and best practices

WHO WE’RE LOOKING FOR

  • 2-4 years of experience in operations, project coordination, or a related role—preferably supporting strategy, marketing, or creative teams
  • Curious and organized, with a natural drive to make systems and processes run more smoothly
  • Comfortable working in spreadsheets, trackers, and shared team tools
  • You’re comfortable using emerging tools (including AI-enabled tools) to help organize work, improve efficiency, and support better day-to-day operations
  • Strong attention to detail and follow-through—you like closing the loop and keeping things on track
  • Proactive, reliable, and collaborative—you know when to take initiative and when to ask questions
  • Proficiency with Microsoft Office Suite (Copilot, PowerPoint, Word, Excel, Teams, Copilot)

The base range for this position is $60,000 – $70,000. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee’s/applicant’s background pertinent experience, and qualifications
