Spacecraft represent the most pressing unmet need across the entire aerospace industry. As more launch vehicles come online and the cost to orbit decreases, more companies launching payloads to space continue to emerge.

For the first time in history, this influx of payload companies combined with reduced launch costs has resulted in a massive increase in need for commercial spacecraft platforms, known as satellite buses. These buses hold the payloads of our customers and are flown on launch vehicles.

Apex manufactures these satellite buses at scale using a combination of software, vertical integration, and hardware that is designed for manufacturing. Our spacecraft enable the future of society: ranging from earth observation to communications and more.

About the Role

We're looking for a Recruiting Coordinator to help the engine behind the hiring run smoothly: owning interview scheduling end-to-end, hosting and touring candidates on-site, running reporting out of Ashby, and supporting our recruiting events. This is a contract role with a strong opportunity to convert to full-time - several members of our team have joined Apex this way, moving from temp to perm. Apex is now just over 400 full-time employees, having more than doubled over the last year, and we're looking to add another 200-300 talented humans in the next year.

What you'll do

Candidate coordination & experience

  • Own complex interview scheduling and coordination in Ashby across multiple recruiters, hiring teams, and roles, managing nuanced availability end-to-end.

  • Host and tour candidates on-site: greet them on arrival, run day-of logistics, and give facility tours that show off the Apex Production floor and leave a strong impression.

  • Coordinate candidate travel, onsite logistics, and interview days, and handle the associated expenses so every candidate has a high-quality experience.

  • Serve as a trusted point of contact for candidates throughout the process, keeping communication timely, thoughtful, and clear.

  • Partner closely with recruiters and hiring managers to anticipate scheduling challenges, resolve issues quickly, and keep hiring processes moving.

  • Continuously look for opportunities to improve the candidate and interviewer experience.

Talent operations & events

  • Run and build recruiting reports out of Ashby - funnel metrics, scheduling activity, and pipeline health - so the team can see what's working and what to fix.

  • Support recruiting events, career fairs, and campus and trade-school visits, from planning through day-of execution.

  • Support the documentation, build, and continuous refinement of scalable recruiting processes, SOPs, templates, and frameworks that balance speed, consistency, and candidate experience.

  • Identify process bottlenecks and recurring friction for recruiters, hiring managers, and interviewers, and help design practical solutions.

  • Run and build recruiting reports out of Ashby - funnel metrics, scheduling activity, and pipeline health - so the team can see what's working and what to fix.

  • Support recruiting events, career fairs, and campus and trade-school visits, from planning through day-of execution.

  • Support the documentation, build, and continuous refinement of scalable recruiting processes, SOPs, templates, and frameworks that balance speed, consistency, and candidate experience.

  • Identify process bottlenecks and recurring friction for recruiters, hiring managers, and interviewers, and help design practical solutions.

  • Support the rollout and adoption of new recruiting tools and workflows through clear documentation, training, and change management.

  • Maintain job postings and keep roles and recruiting information accurate across Ashby and other internal and external systems.

What success looks like in your first few months
  • Interviews are scheduled quickly and accurately, with candidates and interview panels always clear on where to be and when.

  • Candidates consistently describe their Apex interview experience as smooth, well-organized, and professional.

  • Recruiters and hiring managers trust you to own logistics end-to-end so they can focus on evaluating talent.

  • Ashby stays clean and current, and the reports you run give the team reliable funnel and scheduling data.

  • Recruiting events run without a hitch, from planning through day-of execution.

What we're looking for

Must-haves

  • Bachelor's degree, or the equivalent of 2+ years of industry experience in a high-paced environment.

  • Experience supporting a high-volume or highly technical recruiting organization in a high-growth startup or similarly fast-paced environment.

  • Strong experience working within an ATS (Ashby preferred), with an understanding of recruiting workflows, data hygiene, and system administration.

  • Exceptional organization and attention to detail, with the ability to manage complex scheduling and competing priorities.

  • Strong judgment and the ability to independently troubleshoot problems and determine the best path forward.

  • A process-oriented mindset and a natural instinct to ask how something can be made simpler, faster, or more effective.

  • A high degree of ownership and comfort operating in an environment where not every process has already been defined.

  • Must meet ITAR (U.S. person) requirements.

Nice-to-haves

  • Demonstrated experience improving recruiting processes, documenting workflows, or helping implement new tools and ways of working.

  • Experience working in a start-up or high-growth environment.

  • Proficiency with the Microsoft Suite.

Additional details

  • On-site in Playa Vista, CA.

  • This is a contract role with a strong opportunity to convert to full-time - several teammates have joined Apex on a temp basis and moved into permanent, full-time roles.

  • This role is subject to ITAR. Applicants must be U.S. persons as defined by U.S. export-control law.
