The Role

As a Recruiting Coordinator at Dyna Robotics, you’ll own the scheduling, coordination, and operational workflows that keep our hiring process moving. This is a high-trust, high-impact role: you’ll be the person ensuring candidates have a seamless experience, hiring managers stay on track, and our ATS is accurate and organized.

You will work closely with our recruiter, hiring managers, and the People/HR team. The goal of this role is to take on the administrative and coordination workload so our recruiter can stay focused on sourcing and closing great talent.

What You'll Do
  • Logistics Mastery: Schedule and coordinate a high volume of phone, virtual, and onsite interviews with extreme accuracy. You’ll manage complex interview loops, multi-timezone calendars, last-minute changes, and ensure every interviewer and candidate is fully prepared.

  • Pipeline & Feedback Coordination: Keep hiring processes moving by proactively following up with hiring managers and interviewers for timely feedback. You’ll spot bottlenecks, escalate when needed, and ensure candidates never fall through the cracks.

  • ATS Ownership & Process Hygiene: Act as the day-to-day owner of our Applicant Tracking System (ATS). You’ll maintain clean data, accurate candidate stages, organized templates, and consistent documentation. You will help streamline workflows and improve scheduling and reporting processes over time.

  • Candidate Experience: Deliver a seamless, professional experience from first outreach through final interview. You are often the first point of contact and will represent Dyna with warmth, clarity, and responsiveness.

  • Onsite & Travel Coordination: Manage all onsite logistics, including scheduling panels, booking candidate travel, coordinating reimbursements, and ensuring a smooth, well-organized interview day.

  • People Ops & Onboarding Support: Support onboarding coordination and assist with HR administrative workflows during hiring surges, partnering closely with our HR Ops lead.

What You'll Bring
  • 2+ years of recruiting coordination, HR coordination, executive assistant, or operations experience (or equivalent)

  • Strong attention to detail and comfort managing many moving parts at once

  • Excellent written and verbal communication skills

  • Experience working with an ATS (Greenhouse, Lever, Ashby, Workday, etc.)

Bonus Points For
  • Prior experience supporting high-volume scheduling in a fast-paced environment

  • Strong operational instincts (you naturally build systems, templates, and repeatable workflows)

  • Comfortable working in ambiguity and taking initiative without needing heavy direction

  • Startup experience or interest in early-stage environments
