The role

Encord is looking for a high-impact Recruiting Coordinator to own candidate coordination end-to-end while helping us build the operational foundation of a fast-scaling talent function.

This is a true hybrid builder role: your core focus will be delivering a seamless, high-touch candidate experience through best-in-class coordination, while gaining exposure to recruiting operations, tooling, and process design. You’ll work closely with recruiters and hiring managers to keep hiring moving fast—and help shape how we scale recruiting thoughtfully and efficiently.

What you'll do

  • Coordinate a high volume of phone, video, and onsite interviews with speed, precision, and care.
  • Serve as a primary point of contact for candidates, ensuring timely communication and a polished, human experience throughout the interview process.
  • Manage interview logistics, candidate travel arrangements, and expense reimbursement as needed.
  • Meet and greet candidates onsite and act as a warm, professional ambassador for Encord.
  • Maintain strict confidentiality and accuracy across all candidate information and communications.
  • Ensure candidates, interviewers, and hiring managers feel supported at every step of the process.
  • Partner with recruiters to maintain clean, accurate data in our ATS and support day-to-day system workflows.
  • Help identify coordination or process bottlenecks and contribute ideas to improve efficiency and candidate experience.
  • Support reporting and metrics gathering to help recruiters and hiring managers stay on track.
  • Assist with documentation and light enablement materials as new processes or tools are introduced.
  • Take on scoped projects that improve coordination workflows, scheduling automation, or the onsite interview experience.

Who we're looking for

  • 2+ years of experience as a Recruiting Coordinator or in a similar coordination-heavy role at a scaling company.
  • A proven ability to manage complex scheduling and high-volume coordination with calm, accuracy, and professionalism.
  • Experience supporting senior stakeholders with scheduling and communications.
  • Strong organizational skills and attention to detail—you take pride in getting things right.
  • Comfort working in a fast-paced, evolving environment with competing priorities.
  • Clear, thoughtful, written, and verbal communication skills.
  • High integrity and respect for candidate confidentiality and data privacy.
  • Ability to be in-person in our San Francisco office for candidate visits.
