About the Role:
We are seeking a highly organized, proactive, and personable Remote Client Relationship Specialist & Operations Ninja to be the backbone of our client interactions and internal efficiency. This hybrid role requires a unique blend of exceptional client communication skills and a knack for streamlining processes and ensuring smooth day-to-day operations. You will be instrumental in nurturing client relationships, providing outstanding support, and optimizing our internal workflows.
Client Relationship Management:
- Serve as a primary point of contact for clients, building rapport and fostering strong, long-term relationships.
- Proactively communicate with clients regarding deadlines, information requests, and updates.
- Respond promptly and professionally to client inquiries via phone, email, and other communication channels.
- Coordinate client onboarding and offboarding processes, ensuring a seamless experience.
- Assist with scheduling client meetings and managing calendars.
- Gather necessary client information and documentation accurately and efficiently.
- Follow up with clients to ensure satisfaction and address any concerns.
- Maintain accurate and up-to-date client records in our CRM system.
- Assist in preparing client communications, presentations, and reports.
Operations & Administrative Support:
- Develop and maintain efficient internal processes and workflows.
- Manage and organize digital files and documents.
- Assist with project management, tracking deadlines and ensuring timely completion of tasks.
- Coordinate with internal team members to ensure smooth information flow and collaboration.
- Manage and order office supplies and ensure efficient resource management.
- Assist with invoicing and payment tracking.
- Troubleshoot basic technical issues and escalate as needed.
- Identify opportunities for process improvement and implement solutions.
- Assist with other administrative tasks as needed to support the smooth operation of the practice.
Requirements
Qualifications:
- Proven experience (2+ years) in a client-facing role, preferably in a professional services environment (accounting, legal, financial services).
- Exceptional written and verbal communication skills, with a professional and empathetic demeanor.
- Strong organizational skills and meticulous attention to detail.
- Excellent time management and prioritization abilities, with the capacity to manage multiple tasks simultaneously.
- Proficiency in using CRM software (e.g., HubSpot, Zoho CRM), project management tools, and Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and proactively in a remote environment.
- Strong problem-solving skills and a resourceful approach to challenges.
- A proactive and positive attitude with a strong work ethic.
- Comfortable with technology and a willingness to learn new tools.
- Experience with accounting software or familiarity with accounting processes is a plus.
- Experience working in a fully remote environment is highly desirable.
