About the Opportunity

We are seeking a highly organized and proactive Senior Administrative Assistant or Executive Assistant to support the Investment Management Development team. This role is central to keeping the team running smoothly—managing complex schedules, coordinating events, and ensuring seamless execution across a variety of priorities.

Investment Management

This role sits within Investment Management which strives to deliver exceptional investment portfolios by harnessing the differentiated capital and strategic strength of the ICONIQ community.            

What You’ll Do

  • Provide support for VP and additional team members when needed, primarily with social events, travel, team meetings and adhoc project support
  • Manage complex, high-volume calendars for and across multiple time zones
  • Coordinate internal and external meetings, including travel planning, logistics, event coordination and materials
  • Track and manage follow-ups from leadership communications and meetings
  • Maintain accurate records of contacts, relationships, and introductions in internal systems
  • Partner across teams to support projects and improve operational processes
  • Help organize and prioritize client and team activities to ensure deadlines are met
  • Process expense reports and provide general administrative support

Ideal Candidate Background

  • 3+ years of experience supporting multiple stakeholders in an administrative or executive assistant capacity
  • Experience managing complex calendars and scheduling across time zones
  • Ability to adapt quickly in a fast-paced, evolving environment
  • Experience collaborating across teams and functions
  • Proficiency with Microsoft Outlook; experience with customer relationship management tools is a plus
  • Strong communication skills and ability to handle sensitive information with discretion
  • Familiarity with AI tools and an interest in using them to improve workflows and productivity

Location: Applicants are expected to work onsite in our Palo Alto or San Francisco office in accordance with our hybrid working policy.


Compensation Range: ICONIQ is required by law to include a reasonable estimate of the salary range for this role, together with other compensation being offered such as a discretionary bonus, health insurance, and other perks. There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At ICONIQ, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms. A reasonable estimate of the current pay range is $48.08 to $55.29 an hour, overtime eligible; $100,000 - $115,000 annualized, based on a standard 40-hour workweek for 52 weeks for a Senior Administrative Assistant and $57.69 to $62.50 an hour, overtime eligible; $120,000 - $130,000 annualized, based on a standard 40-hour workweek for 52 weeks for an Executive Assistant.
