About the Role

We are seeking an exceptional Executive Assistant (internally elevated to Executive Business Partner for recruiting purposes) to support two Senior Founders of our rapidly growing tech startup. This is a highly visible role for a strategic, proactive operator who excels at anticipating needs, solving problems before they arise, and serving as a trusted thought partner to executive leadership.

The ideal candidate doesn't simply react to requests but actively looks around corners, identifies potential challenges, and creates solutions before issues reach the executives' desks. You are polished, resourceful, and thrive in a fast-paced environment where priorities shift quickly and initiative is highly valued.

Key Competencies:
  • Highly Autonomous: Able to navigate complex, ambiguous situations with minimal direction or hand-holding.

  • Proactive & Agile: Stays steps ahead of the executives and the team; pivots seamlessly when priorities shift to ensure everyone remains aligned and on track.

  • Strong Academic/Intellectual Foundation: Highly educated with the critical thinking skills needed to process information quickly and strategically.

  • Adaptive Communicator: Highly adaptable to varying situational dynamics, diverse working styles, and cross-functional backgrounds.

  • Strategic Relationship Builder: Focuses on cultivating deep, meaningful relationships across the organization rather than just managing transactional interactions.

Responsibilities:
  • Calendar & Strategic Scheduling: Manage complex calendars across multiple executives, strategically prioritizing meetings, appointments, and competing demands.

  • Operational Foresight: Anticipate scheduling conflicts and operational challenges, proactively implementing solutions before they impact leadership.

  • Executive Partnership: Serve as a trusted partner to executive leadership, helping maximize efficiency, productivity, and organizational effectiveness.

  • Meeting Preparation: Prepare executives for meetings by organizing materials, drafting agendas, conducting research, and ensuring all necessary information is readily available.

  • Communication & Liaison: Act as a primary point of contact for internal and external stakeholders, handling communications with professionalism, discretion, and sound judgment.

  • Global Logistics: Coordinate detailed domestic and international travel arrangements, including flights, accommodations, itineraries, and contingency planning.

  • Confidentiality: Handle sensitive information with the highest level of discretion.

  • Strategic Initiatives: Partner closely with leadership and cross-functional teams to support special projects and operational priorities.

  • Process Improvement: Continuously identify opportunities to improve processes, create efficiencies, and strengthen organizational infrastructure.

Required Qualifications:
  • Experience: 10+ years of experience supporting C-suite executives, founders, or senior leadership teams, specifically within a high-growth startup environment.

  • Strategic Mindset: Proven track record of providing strategic executive support beyond traditional calendar management.

  • Judgment: Demonstrated ability to anticipate needs, exercise sound judgment, and independently solve problems.

  • Organization: Exceptional organizational skills with meticulous attention to detail and follow-through.

  • Communication: Strong interpersonal and communication skills to build rapport across teams and with external partners.

  • Adaptability: Comfortable operating with ambiguity and adapting quickly in a dynamic environment. Ability to multitask in a fast-paced environment with shifting priorities.

  • Technical Proficiency: Expert user of Google Workspace, Slack, and modern business productivity tools.

  • Education: A highly educated background preferred, with a focus on supporting startups.

  • Experience in project management and event coordination is a plus.

Location: Hybrid schedule based in San Francisco, CA (3–4 days onsite per week).

Sesame is committed to a workplace where everyone feels valued, respected, and empowered. We welcome all qualified applicants, embracing diversity in race, gender, identity, orientation, ability, and more. We provide reasonable accommodations for applicants with disabilities. Contact [email protected] for assistance.
