  • Manage complex, overlapping calendars for the CSOO and multiple SVP-level leaders, balancing priorities and ensuring everyone is consistently prepared and on time.
  • Coordinate end-to-end domestic and occasional international travel, including flights, accommodations, ground transportation, and real-time itinerary adjustments when plans shift.
  • Monitor executive inboxes as directed, draft correspondence, capture meeting notes, and route action items so nothing falls through the cracks.
  • Prepare agendas, briefing materials, and logistics for executive meetings, team offsites, and cross-functional sessions across a large, distributed leadership team.
  • Serve as a dependable connection point between the CSOO’s office and the many teams and functions within the portfolio, coordinating information and requests with speed and accuracy.
  • Process expense reports, track approvals, and manage the administrative details that keep the office running at full capacity.

Who You Are

  • You have 2 or more years of experience supporting senior leaders or executives in a corporate environment; experience in a technology or SaaS company is a plus.
  • You are skilled at managing multiple complex calendars and competing scheduling demands at once without losing critical details.
  • You have coordinated end-to-end domestic and international travel logistics and are comfortable managing changes in real time.
  • You communicate clearly and professionally in writing, whether drafting a note on behalf of your executive or capturing action items for a broader audience.
  • You handle sensitive and confidential information with discretion and sound judgment as a matter of course.
  • You are proficient in Microsoft Office Suite, especially Outlook, and pick up new tools and platforms quickly.
  • You are familiar with expense and travel management platforms such as Concur, Navan, or similar tools.
  • You work effectively in a remote-first environment and can self-direct your day with limited supervision.
  • You are available to work from the Bloomington, MN office on an as-needed basis.
  • You are willing to take on evolving responsibilities based on business needs.
