The Sourcing and Meeting Manager is responsible for sourcing, negotiating, and contracting up to 100 events per year. This person will utilize Cvent software for sourcing, building, and managing online registration sites, and building mobile apps utilizing Attendee Hub. This role requires a seasoned professional with knowledge of venues throughout the US, expertise in analyzing proposals, and collaborating with planners to determine the best venues and locations for our events. Candidates should have strong negotiation skills and be familiar with hotel contracts to ensure favorable pricing and realized cost savings.

Responsibilities:

  • Research venues to ensure that client requirements are met.
  • Guide planners and meeting hosts toward selection of best venue and location for a particular event.
  • Utilize preferred vendors for quality of service, minimal risk and maximum pricing advantage.
  • Negotiate hotel contracts
  • Identify venues in markets most utilized for purpose of negotiation and benefit to Zoetis.
  • Build and Maintain relationships with NSOs and sales managers at individual hotels.
  • Negotiate all hotel contracts to ensure favorable pricing and realized cost savings.
  • Utilize Cvent technology as an account administrator. Maintain templates and guides used by planning team.
  • Keep abreast of new destination options, well-priced seasonal destination options and “hot date” offerings.
  • Coordinate site inspections with suppliers and planners.
  • Visit hotels and cities often sourced to determine best venues for future groups.
  • Develop, edit and manage meeting registration websites. Ensure layout and design match meeting objectives. Generate reports for planners to aide with rooming lists, attendance, registration materials, etc. Provide post-trip summary reports.
  • Provide system support to planning team on all Cvent-related questions or concerns.
  • Plan small and out-of-scope meetings

Qualifications:

  • BA/BS required, preferably in Meeting/Event Management, Hospitality Management, Communications, Business, or related field
  • A minimum of 5 years’ experience in conference and/or sourcing management.
  • Strong background in full-scale conference planning and management.
  • Expert in Excel and Cvent
  • Strong computer skills required in Excel, Word, Internet, PowerPoint
  • Solid skills negotiating contracts
  • Must have and maintain excellent relationships with hotel partners, venues and DMCs and have outstanding reputation within the hospitality industry
  • Clear, concise written and verbal communication skills.
  • Excellent time management skills.
