Job Category

The Sr. Project Coordinator to the Chief Technology Officer (CTO) serves as a strategic partner responsible for driving operational excellence, enabling cross-functional collaboration, and supporting the execution of key business initiatives. This role combines executive support with program management, ensuring the CTO can effectively lead organizational priorities while maintaining alignment across Engineering, Product, Sales, Marketing, Creative, and Operations.

The ideal candidate is highly organized, proactive, and thrives in a fast-paced environment. They are skilled at managing multiple priorities, coordinating complex projects, communicating with senior leaders, and anticipating business needs. Success in this role requires exceptional judgment, discretion, strong project management capabilities, and the ability to influence outcomes across cross-functional teams.

This position is hybrid and requires working from our Foster City office.

 

Responsibilities

  • Manage the CTO's day-to-day operations, including complex calendar management, meeting coordination, and prioritization of competing demands in a dynamic environment.
  • Coordinate leadership offsites, quarterly planning sessions, executive meetings, and company-wide initiatives, including agendas, logistics, communications, stakeholder engagement, and follow-up on action items.
  • Partner with senior leaders and cross-functional stakeholders to facilitate communication, resolve issues, and drive execution of strategic business priorities.
  • Proactively identify risks, remove obstacles, and manage multiple concurrent initiatives while balancing technical, operational, and organizational objectives.
  • Prepare executive presentations, reports, status updates, and communications to support decision-making and keep leadership informed of key initiatives.
  • Track project progress, monitor deliverables, and ensure deadlines are met through effective coordination across multiple teams.
  • Maintain a high level of professionalism, sound judgment, and confidentiality while supporting sensitive business discussions and executive-level initiatives.
  • Continuously improve operational processes and identify opportunities to increase organizational efficiency and effectiveness.

Requirements

  • Bachelor's degree in Business Administration, Operations, Engineering, Communications, or a related field, or equivalent professional experience.
  • 5+ years of experience supporting C-level executives, executive leadership, or senior management in an Executive Business Partner, Executive Assistant, Chief of Staff, Program Manager, or similar role.
  • Proven experience leading cross-functional projects and coordinating initiatives across multiple business functions.
  • Exceptional organizational, time management, and project management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills, with experience preparing executive presentations and business communications.
  • Strong interpersonal skills with the ability to build trusted relationships across all levels of the organization.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
  • Advanced proficiency with Microsoft Office or Google Workspace, including PowerPoint, Excel, Word, and presentation development.
  • Experience working in fast-paced technology or SaaS organizations is preferred.
  • Experience supporting Engineering or Product leadership is a plus.

The expected base salary range for this position is $100,000 USD to $120,000 USD annually. This base salary range is an estimate, and the actual base salary may vary based on the Company’s compensation practices. The base salary may be adjusted based on applicant's geographic location. The position is also eligible to receive performance bonus or commission and equity in the form of restricted stock units. This position is eligible to participate in the Company’s standard employee benefits programs, which currently include health care benefits; (2) retirement benefits; (3) the amount of paid days off (paid sick leave, parental leave, paid time off, or vacation benefits); (4) any other tax-reportable benefits.
