Your Role:
Avid Bioservices is seeking a proactive, detail-oriented, and motivated Senior Talent Acquisition Coordinator to support the talent acquisition team throughout the hiring process. This role is ideal for someone who thrives in a fast-paced environment, enjoys administrative coordination, and is committed to delivering a seamless candidate and stakeholder experience. The ideal candidate is highly organized, tech-savvy, comfortable partnering with individuals at all levels of the organization, including C-level executives, and eager to build recruiting skills for complex roles.
Key Responsibilities:

  • Schedule and coordinate all Talent Acquisition activities, including interviews, candidate debriefs, candidate travel, TA meetings, and calendar management.
  • Ensure stakeholders have the information needed to deliver seamless interview experience for hiring managers, panelists, and candidates.
  • Maintain accurate candidate records and complete consistent data entry within the applicant tracking system (ATS) or CRM.
  • Assist with job postings, candidate communications, and recruitment reporting.
  • Track recruiting metrics and generate reports as needed.
  • Support onboarding coordination and pre-employment processes.
  • Identify and resolve scheduling or process-related challenges with a proactive, solutions-oriented approach.
  • Support TA projects, including Avid’s internship program, local job fairs, and onsite recruiting events.
  • Assist with process improvement initiatives, including automation opportunities, HRIS/ATS capability assessments, system solution reviews, and training documentation.
  • Develop recruiting skills over time, including sourcing and engaging candidates for complex and specialized roles.
  • Handle all candidate and employee information with a high level of confidentiality.

Minimum Qualifications:

  • High school diploma or GED required.
  • Minimum of 2-4 years of administrative, HR, or recruiting support experience required.
  • Familiarity with applicant tracking systems (ATS) or CRM platforms.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong attention to detail, data accuracy, and follow-through.
  • Ability to handle confidential information with discretion and professionalism.
  • High level of professionalism, sense of urgency, and ability to manage competing priorities under pressure.
  • Strong interpersonal skills and a customer-service mindset.
  • Comfortable interacting with and supporting C-level executives.
  • Excellent organizational, communication, and time management skills.
  • Proven problem-solving abilities and a proactive mindset.
  • Ability to work both independently and collaboratively in a team environment.

Preferred Qualifications:

  • Self-motivated and eager to grow within talent acquisition, with a strong interest in developing sourcing, recruiting, and candidate assessment skills for complex roles.
  • Exposure to and/or familiarity with the life sciences industry.

 

Position Type/Expected Hours of Work: 

This role is a full-time onsite position in Tustin, CA. Days and hours of work are Monday through Friday 8:00 a.m. to 5:00 p.m. unless otherwise stated by Supervisor. The employee must also have the ability to work overtime and/or weekends when necessary.

Compensation:  

We offer competitive compensation packages for this role, including a base salary, performance-based bonuses, and comprehensive benefits such as health, dental, and vision insurance, 401(k) matching, and paid time off. 

The compensation range for this role is $25.00 - $31.25 hourly depending on experience and qualifications. Additionally, we offer opportunities for career growth and development as well as a supportive and inclusive work environment.

Physical Demands & Work Environment:  

In this dynamic role, expect a blend of regular activities like sitting, standing, and walking, with occasional physically engaging tasks such as lifting objects up to 25 pounds. The work environment might expose you to electrical shocks, toxic chemicals, vibrations, or loud noise levels occasionally. However, reasonable accommodations are available to enable individuals with different abilities to perform effectively, ensuring a supportive and adaptable work setting. Your visual acuity, including close, distance, and color vision, will be essential in navigating through the diverse day-to-day demands of this position.
