This is a remote position.

The Travel Coordinator Assistant will be responsible for supporting our travel operations by managing all aspects of travel arrangements for the CEO and other executives. This individual will ensure all travel plans run smoothly and align with our company's schedules and budgetary constraints.


Key Responsibilities:


  • Plan, book, and arrange all travel-related aspects including flights, accommodations, car rentals, and other transportation needs.

  • Maintain up-to-date knowledge of travel regulations, restrictions, and safety advisories within the USA.

  • Provide end-to-end travel support, including preparing itineraries, managing travel emergencies, and offering solutions to travel-related problems.

  • Collaborate with team members and external partners to ensure seamless travel experiences.

  • Negotiate contracts with vendors and service providers to secure advantageous terms.

  • Track and manage travel expenses and budgets, ensuring cost-effective solutions.

  • Maintain organized records of all travel documents, receipts, and itineraries.

  • Offer personalized travel advice and support to travelers regarding destinations, transportation options, travel documents, and other travel-related inquiries.

Requirements


Qualifications:

  • 1 - 3 years of experience as a travel coordinator or similar role, preferably within the USA.

  • Proficient in travel planning and booking tools.

  • Strong organizational and time-management skills.

  • Excellent communication and negotiation skills.

  • Ability to work independently and as part of a team.

  • Problem-solving skills and ability to handle travel emergencies with composure.

  • Familiarity with travel regulations and budget management.

  • High school diploma or equivalent; higher education or certifications in travel, tourism, or related field are a plus.
