RESPONSIBILITIES

Office Operations & Facilities
  • Oversee daily operations of our San Francisco office and remote management of our New York office.

  • Maintain a high standard of office experience through cleanliness, comfort, and functionality of all shared spaces.

  • Manage relationships with building management, facilities vendors, and service providers (cleaning, IT, maintenance, etc.).

  • Own all aspects of office supply management, food and beverage programs, and vendor contracts.

  • Lead planning and execution of new office setup or office expansions, including space planning, vendor sourcing, and budget tracking.

  • Manage building access, seating plans, and workspace assignments to ensure seamless employee onboarding and office moves.

  • Anticipate growth and proactively plan for workspace and equipment needs (e.g., desks, phone booths, A/V setup).

Events & Culture Programming
  • Plan and execute in-office events and celebrations (happy hours, milestone moments, and cultural programs).

  • Partner with team leads to coordinate functional team onsites, including logistics, scheduling, and onsite setup.

  • Own planning and logistics for company-wide offsites, including vendor management, travel coordination, and onsite experience.

  • Partner with leadership and People Ops to design and grow Baseten’s employee recognition and appreciation programs.

  • Collaborate cross-functionally to develop initiatives that strengthen connection, engagement, and inclusion across teams.

REQUIREMENTS

  • 3–5+ years of experience in workplace experience, office operations, or facilities management.

  • Proven success in budget ownership, vendor management, and office setup.

  • Experience coordinating logistics for events, travel, or offsites.

  • Strong organizational skills with the ability to manage multiple priorities and stakeholders simultaneously

  • Excellent written and verbal communication skills

  • High attention to detail, with an eye for process improvements and efficiency

  • Enthusiastic about fostering an inclusive, welcoming, and engaging workplace culture
