Position Overview:

We’re looking for an organized, resourceful and highly proactive Workplace Operations Analyst to help scale our physical workplaces and the systems that support it.

We aren’t simply looking for someone to maintain project trackers; we need someone who can bring structure to ambiguous problems, identify what needs to happen next, and build systems that make the broader Workplace team more effective. You’ll coordinate across internal teams and external partners to keep complex projects organized, surface risks, track decisions, and drive initiatives.

In addition to supporting real estate projects, you’ll take ownership of high-priority operational initiatives across the organization. This could include implementing floor-planning software, building a scalable Jira environment, developing a corporate housing program, or improving how workplace information and documentation are managed.

This role could make sense for you if:

  • You thrive in a fast-paced environment and enjoy bringing order to complex, evolving work
  • You’re energized by both large, cross-functional projects and the operational details required to execute them well
  • You instinctively create systems, documentation, and processes where none exist
  • You’re comfortable coordinating across multiple teams, priorities, and external partners
  • You communicate clearly, follow through consistently, and keep stakeholders aligned
  • You’re curious, resourceful, and willing to dig into unfamiliar problems
  • You enjoy scaling operations and improving the way work gets done

Responsibilities

  • Support the planning and execution of new offices, expansions, renovations, and relocations
  • Own defined portions of real estate projects from initial planning through occupancy
  • Track outstanding decisions and drive follow-up across multiple concurrent projects
  • Build and maintain the operational systems that support the Workplace team
  • Develop standardized documentation, project templates, workflows, and repeatable processes
  • Maintain accurate records for leases, floor plans, workplace standards, vendors, and project documentation
  • Implement and administer tools used for workplace planning, project tracking, and cross-functional coordination
  • Improve how workplace information is organized, shared, and maintained
  • Support high-priority operational initiatives that may extend beyond traditional workplace projects
  • Coordinate closely with Facilities, IT, Security, Finance, People, Legal, and business leaders
  • Help create scalable workplace practices that can support a growing, global organization

Minimum Requirements

  • 4–6 years of experience in workplace, operations, real estate, program management, construction, or a related field
  • Exceptional organizational skills and attention to detail
  • Strong project management instincts with the ability to juggle multiple priorities simultaneously
  • Ability to work independently, identify what needs to be done, and move work forward without extensive direction
  • Comfortable building structure in ambiguous, fast-paced environments
  • Excellent written and verbal communication skills across technical and non-technical teams
  • Comfort learning and administering new operational tools and systems
  • A genuine interest in building scalable processes and improving how teams operate
  • Curious, resourceful, and proactive; you enjoy figuring things out and improving the way things are done

Bonus

  • Experience supporting office build-outs, construction, renovations, or design coordination
  • Experience implementing new processes, tools, and software
  • Experience building workflows in Jira or similar project-management platforms
  • Experience supporting a rapidly growing or multi-site organization
