ADMINISTRATIVE ASSISTANT

Pro Bono Program, Center for Social Justice

Class: Level 1 / Class 1615 / Non-Exempt / Limited/Part-Time (0.25 FTE) / Represented / Hybrid/In-person (onsite requirement of at least 2 days per week, more depending on department needs)

Anticipated Hiring Rate: $25.00-$27.81/HR

THE ROLE and RESPONSIBILITIES

The Administrative Assistant is responsible for a variety of administrative and clerical duties pertaining to the operation of the Pro Bono Program. The position is part of UC Law SF’s Center for Social Justice and reports to the Director of the Pro Bono Program under the Associate Dean for Experiential Learning. Typical duties and responsibilities include, but are not limited to, the following:

  • Compile and maintain records of pro bono placements with legal non-profits;
  • Communicate effectively, professionally, and promptly with student participants and pro bono placement organizations in person, by phone, and via email, including through listservs;
  • Organize and frequently update available pro bono opportunities;
  • Calculate accrued student pro bono hours using an online program and communicate totals to students and other departments;
  • Maintain the confidentiality of program information;
  • Provide accurate and detailed program information to interested students;
  • Create and update distribution lists of specified professional and student groups;
  • Review and correct information about available programs on the school website and intranet;
  • Assist with event planning, including promotion, RSVP tracking, logistics, and day-of, in-person event coordination;
  • Must work in-person on Tuesdays and Wednesdays from 12:00-2:00 pm to assist with events. All remaining hours may be worked on the days of the week, times, and location that best align with your schedule.
  • Perform other related duties and responsibilities as assigned.

REQUIREMENTS
EDUCATION AND EXPERIENCE

  • High school or equivalent;
  • Demonstrated experience with administrative support.

DESIRED KNOWLEDGE, SKILLS & ABILITIES

  • Proficiency creating, editing and utilizing spreadsheets, databases, data entry and online applications;
  • Proficiency with Microsoft Word, Excel and Outlook;
  • Eagerness to work with students and the community, and effective, pleasant and professional written communication in writing to a diverse population;
  • Excellent organizational skills;
  • Excellent interpersonal skills;
  • Demonstrated ability to prioritize, exercise initiative, and apply sound judgment while maintaining accuracy;
  • Must be comfortable effectively executing numerous projects in a fast-paced environment.
