Job Summary: The Administrative Assistant will support our Tax department by managing administrative functions to ensure seamless operations and positive client interactions.
Responsibilities:
- Assist with new client onboarding, including setting up and updating client information in internal systems, processing new client setup forms, and preparing engagement letters.
- Assist with the annual engagement letter process, including preparation, distribution, tracking, and follow-up.
- Assist with tax return processing and assembly, including electronic and physical deliverables as needed.
- Sort, scan, distribute, and maintain incoming and outgoing mail and correspondence.
- Collaborate with other administrative team members to support the Tax team with calendaring and scheduling, certified mailings, DocuSign requests, faxing, document preparation, and other administrative needs.
- Assist with maintaining and organizing electronic and physical client files and records.
- Assist with tracking outstanding administrative items and following up with team members as needed.
- Maintain and stock office supplies and coordinate supply orders as needed.
- Provide additional administrative support to the Tax department and assist with special projects as needed.
Required Qualifications & Skills / Abilities:
- 1-2+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced professional services work environment (Accounting, Financial Services or Law firm experience highly desirable)
- Bachelor’s degree preferred
- Exceptional writing, editing, and proofreading skills
- Strong organization, time management, and computer skills, including proficiency in the Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
