Role Overview:
The Associate Chief of Staff is a highly adaptable, execution-oriented partner who supports senior leadership by translating strategy into action. This role sits at the intersection of big-picture thinking and day-to-day problem solving. The ideal candidate is comfortable operating in ambiguity, can flex quickly as priorities shift, and is equally effective in rolling up their sleeves to help teams work through challenges in real time.
Reporting to the COO, this individual will help streamline processes across the organization, support cross-functional execution, and ensure that important initiatives move forward even when things get messy. While this is not a formal project management role, the Associate Chief of Staff will regularly perform project management activities such as breaking complex work into smaller parts, coordinating across teams, tracking progress, and helping unblock execution. The role will also include select executive assistant responsibilities to support leadership effectiveness.
RESPONSIBILITIES:
Strategic Support & Alignment:
Partner closely with senior leaders to support organizational priorities, strategic initiatives, and operational execution. Help translate high-level goals into clear plans, actions, and outcomes that teams can execute against.
Process Improvement & Streamlining:
Identify opportunities to improve, simplify, and standardize processes across the organization. Work with cross-functional partners to design practical solutions that reduce friction, increase clarity, and improve efficiency.
Execution & Delivery Support:
Support the execution of cross-functional initiatives by breaking work into manageable components, aligning owners, and driving follow-through. Sit alongside teams when initiatives stall or encounter challenges, helping diagnose issues, facilitate problem-solving, and get work back on track.
Cross-functional Collaboration:
Act as a connective tissue across teams including Product, Engineering, Client Success, Operations, Finance, and People. Build trust-based relationships and influence without authority to move work forward.
Project Management Activities:
Support planning, coordination, and delivery of initiatives by maintaining timelines, tracking dependencies, preparing materials, and following up on action items. Adapt plans as priorities shift and new information emerges.
Executive Support:
Provide select executive assistant support including calendar management, meeting preparation, agenda development, note-taking, and follow-up. Ensure leaders are well-prepared, organized, and focused on the highest-impact work.
Problem Solving & Decision Support:
Conduct research, synthesize information, and develop clear recommendations to support leadership decision-making. Quickly absorb context and provide structured thinking on complex or ambiguous topics.
Communication & Documentation:
Prepare clear, concise written and verbal communications including meeting summaries, presentations, and internal updates. Ensure alignment, clarity, and accountability across stakeholders.
Continuous Improvement:
Operate with a mindset of learning and iteration. Identify what is working, what is not, and propose improvements to how the organization plans, communicates, and executes.
Innovation & Measurement: Stay current on data, analytics, and reporting trends within healthcare and technology. Introduce new approaches to measurement, visualization, and storytelling that elevate how Pager Health understands and communicates its impact.
