Role

We are looking for a Workplace Experience Specialist to join our team. This is an on-site role based in San Jose, CA (in office Monday-Friday), reporting to the Senior Manager of Americas Workplace Operations in the Facilities team department. In this role, you will be the face of our San Jose headquarters, responsible for ensuring a best-in-class, end-to-end workplace experience for all employees and external guests. We are looking for a proactive problem-solver who is flexible with their scope of work and ready to be a true asset to the team. Whether you are managing vendor operations, resetting a room for a critical meeting, or navigating a sensitive building issue, you will act as the heartbeat of our office environment.

What you’ll do (Role Expectations)

  • Oversee daily operations, managing essential workspace services including the mailroom, security protocols, janitorial services, food and beverage programs, parking, and other workplace amenities

  • Exercise expert judgment as the first line of defense for workplace operations, utilizing a high level of discretion to evaluate issues on the fly and intuitively knowing when to solve a problem independently versus escalating it

  • Provide hands-on event and space support by rolling up your sleeves to perform room turnovers, moving furniture for space configurations, and providing on-the-ground support for events

  • Optimize space and workflows to align physical workplace layouts with organizational needs, leveraging space management practices to promote functionality, efficiency, and employee satisfaction

  • Drive workplace culture and ensure a welcoming environment by collaborating cross-functionally with the People Team and other departments to execute workplace initiatives, projects, and events that align with global strategies

Who You Are (Success Profile)

  • You thrive in ambiguity. You're comfortable building the path as you walk it. You thrive in a dynamic environment, seeing ambiguity not as a hindrance, but as the raw material to build something meaningful.

  • You act like an owner. Your passion for the mission fuels your bias for action. You operate with integrity because you genuinely care about the outcome. True ownership involves leveraging dynamic range: the ability to navigate seamlessly between high-level strategy and hands-on execution.

  • You are a problem-solver. You love running towards the challenges because you are laser-focused on finding the solution, knowing that solving the hard problems delivers the biggest impact.

  • You are a high-trust collaborator. You are ambitious for the team, not just yourself. You embrace our challenge culture by giving and receiving ongoing feedback—knowing that candor delivered with clarity and respect is the truest form of teamwork and the fastest way to earn trust.

  • You are a learner. You have a true growth mindset and are obsessed with your own development, actively seeking feedback to become a better partner and a stronger teammate. You love what you do and you do it with purpose.

What We’re Looking for (Minimum Qualifications)

  • Foundational understanding of AI/ML technologies and experience leveraging, securing, or positioning AI-driven solutions to optimize outcomes within your functional domain

  • 2+ years of experience in a Workplace, Facilities, or Hospitality role (site lead experience highly preferred), with a proven ability to build strong relationships with building management and cross-functional teams

  • Based in the San Jose, CA area with the ability to work in-office Monday through Friday, including the physical capability to safely move office furniture and stand/walk for extended periods to support resets

  • Demonstrated success in vendor administration, establishing workflows, evaluating systems, and implementing solutions to optimize workplace operations

  • Flexibility regarding the scope of work, proactive willingness to step outside traditional duties, and a proven track record of handling sensitive situations with a high level of discretion, strong decision-making skills, and the ability to work independently with minimal supervision

What Will Make You Stand Out (Preferred Qualifications)

  • Experience leveraging AI-powered workplace management software or automated smart-building systems to optimize facility operations and maintenance workflows

  • Hands-on experience successfully navigating office relocations, build-outs, or renovations

  • Familiarity with leveraging data and metrics to inform continuous operational improvements and evaluate workplace systems
