The Benefit Reconciliation Specialist is responsible for ensuring the accuracy, integrity, and compliance of benefits-related data across systems, carriers, and internal records. This role supports both internal and external customers by reconciling benefit transactions, identifying and resolving discrepancies, and maintaining audit-ready documentation. The Specialist partners closely with benefit administration teams, COBRA/Direct Bill teams, and customer service staff to ensure timely, accurate reporting and regulatory compliance.

Responsibilities

  • Ensure payment integrity through comprehensive reconciliation of financial records, vendor invoices, and transaction data, proactively identifying and resolving variances to support accurate and compliant payment processing.
  • Support customer audits, inquiries, and service-related requests by researching issues, analyzing data, and providing clear, accurate responses both verbally and in writing. Ensure all communications and documentation meet company standards for quality, accuracy, and compliance.
  • Independently organize, prioritize, and execute multiple assignments while maintaining accuracy, quality, and adherence to required turnaround times.
  • Maintain accurate files of enrollment forms, reconciliations, and supporting documentation for audit readiness.
  • Provide support across team functions as needed, including assuming ownership of additional tasks and responsibilities during periods of workload fluctuation, staffing changes, or business priorities.
  • Develop and utilize advanced Excel tools and reporting techniques to track, analyze, and validate data.
  • Provide timely responses to internal stakeholders and external customers regarding reconciliation or data integrity inquiries.
  • Meet or exceed established performance standards and service-level commitments.
  • Safeguard sensitive information and ensure compliance with all security and confidentiality standards.
  • Contribute to process improvement initiatives, recommending automation or efficiency enhancements.
  • Adapt to changing business needs by learning and performing new processes, supporting departmental initiatives, and taking ownership of work assigned by leadership.
  • Take ownership of assigned responsibilities and work independently to achieve expected outcomes while actively collaborating with departmental and cross-functional teams to resolve issues and drive business results.

Competencies

  • Effective communication skills, both verbally and in writing.
  • Advanced Excel expertise, including data validation, PivotTables, advanced formulas, data analysis, reconciliation of large datasets, and the ability to identify discrepancies, trends, and root causes through detailed reporting and analysis.
  • Proven ability to interpret and analyze data from multiple sources to identify trends, assess business impacts, and support Customers’ operational and strategic decision-making.
  • Adaptable to changing business needs, processes, systems, and priorities.
  • Ability to work independently and as part of a team.
  • Continuous improvement mindset, actively engage in company, team, and departmental activities, contributing ideas, sharing knowledge, and supporting initiatives.
  • Maintain punctuality and adherence to set schedule with extra hours as needed.
  • Demonstrate resilience and the ability to remain focused, organized, and productive in fast-paced environments with multiple deadlines and competing demands.
  • Experience working within the Benefits Administration industry, including employee benefits, eligibility, enrollment, billing, reconciliation, COBRA, and customer support processes.
  • Professionalism and discretion in handling sensitive and confidential data.

Qualifications

Education/Certification Requirement

High School diploma required; Associate’s or Bachelor’s degree preferred.

Professional certifications in HR, Benefits, or Data Analytics a plus.

Required

  • 3 years of experience with system reporting outputs requiring Microsoft Excel comparisons, audits, and analysis.  
  • 3 years of customer service experience.
  • Strong written and verbal communication skills.
  • Comfort working in systems-heavy environments, using shared trackers and case management platforms.
  • Strong organizational skills with the ability to manage multiple priorities and drive follow-through. 
  • Strong attention to detail and problem-solving abilities.

Preferred

  • Bachelor’s degree in Business, HR, or a related field.
  • Experience working within the Benefits Administration Industry.
  • Experience analyzing employee benefits, eligibility, enrollment, payroll, billing, or carrier data to identify discrepancies and support reconciliation activities.
  • Experience using Workday software.
  • Experience using Alegeus WCC software.
  • Experience using Salesforce or similar case-tracking / workflow systems.
